Department Summary:


The Process Management & Administration department is responsible for executing digital and non digital client submissions along with providing support services to members of the Consultant network across the country.

This along with supporting, creating and driving changethrough continuous improvement, documentation, training & support for our employees.

This role has a focus on our internal processes to include investment operations, transfers in/out of IG, insurance administration and banking, etc.

Position Summary: The Process Management & Administration Specialist will focus on providing guidance and direction for all policies and procedures relating to specific products, technical systems, tax related implications and regulatory obligations. Day to day operations and/or recovery efforts that are complex in nature will require dealings with Senior Leaders in various divisions includes Product, Advanced Financial Planning, Corporate Tax, National Distribution leadership, Client Service Operations, Region Office Management, Compliance and Audit. This role will also provide oversight and ensure the administration of all operational aspects relating to our day to day operations along with the understanding the data requirements and technical system functionality and limitations to deliver accurate communications as needed. Areas of expertise may include but are not limited to any combination of the following, IGFS Client name, IGFS Nominee and ISI products, Estates, IG Legacy Products, Mortgage, IIROC Transition, Banking and Insurance. Also represents Process Management & Administration to ensure our needs are met with Corporate Strategies and objectives as they impact clients and consultants which also include product intricacies, operational controls, regulatory, compliance and legal obligations and tax guidelines. Responsible for the review of all communications and procedural updates to ensure that any reputable risk is protected and regulatory obligations are met to our teams nationally.

Duties Included:
Acts as a primary technical and subject matter expert for all departmental staff across the country. Determines and provides guidance and direction pertaining to communications, system/data requirements and regulatory obligations.

Research and respond to technical and operational inquiries from internal and external parties along with Distribution Leadership, CSO and the fieldWorks with Senior Management, CSO & various business partners on a regular basis to ensure technical data requirements are met while having an in debt understanding of policy and procedures, tax, compliance and regulations as they pertain to the handling of client business.

Ensure that all recommendations are in line with regulations and internal practicesResponsible for the oversight of communications, operational recovery and ongoing controls.

Determine and provide guidance and direction pertaining to communications, system/data requirements and regulatory obligations.

Research and respond to technical and operational inquiries from internal and external parties including Product, AFP, Corporate Tax, National Distribution Leadership, Consultants, Compliance, and Audit along with Client Act Management & Specialized Support staff across the country.

Qualifications: Minimum 4 to 7 years experience within a client service/business operations environment. Experience needs to span across multiple platforms and product lines and include both business and systems expertise.
Region Office Operations and/or a combination of CSO experience is criticalStrong problem solving/analytical and decision making skills.
Strong customer service orientation with excellent interpersonal and communication skills, both written and verbal. Ability to communicate with all levels of management.
Exceptional organizational and time management skills. Ability to deliver under tight time constraints.
Strong relationship management skills and the ability to develop partnerships with key business partners.
Strong initiative and ability to think outside the box to develop innovative solutions.

Bilingual is an assetProject Management experience is an assetProficiency in Corporate platforms to include Salesforce & Rbroker an assetProficient in Microsoft Office Suite.
