Core Responsibilities:

  • Overseeing and coordinating office administrative procedures.
  • Managing office inventory.
  • Reviewing and implementing new administrative procedures.
  • Performing general administrative duties.
  • Preparing communications and corresponding with vendors/suppliers/customers and staff.
  • Coordinating office services, such as equipment repair, supplies, forms, shredding, parking, garbage removal and security services.
  • Assembling data and preparing periodic and special reports, manuals and correspondence.
  • Arranging or supporting meetings and appointments for Executive team and providing reminders.
  • Maintaining confidential information for the business, ensuring information is handled appropriately.
  • Receiving calls, taking messages and routing correspondence.
  • Handling requests and queries appropriately.
  • Making travel arrangements.
  • Filing expenses for Executives and Director of People and Culture.
  • Taking dictation and minutes and accurately enter data.
  • In partnership with People & Culture, assisting in HR administrative functions.
  • Special Projects as assigned by the Director of People & Culture and Executives.

Skills, Qualifications and Experience:

  • Degree or Diploma, in business administration or communications an asset.
  • 3+ years of Administrative/Executive Assistant/Office Management experience.
  • Full comprehension of office management systems and procedures.
  • Strong proficiency in Microsoft Office suites and other advance office technology.
  • High Proficiency in English verbal and written communication skills.
  • Exemplary planning and time management skills.
  • Ability to multitask and prioritize daily workload.
  • Comfortable working in a fastpaced environment
  • Discretion and confidentiality.
  • Experience with Dayforce by Ceridian an asset or any HRIS software.
