Purpose
Contributes to the overall success of the Audit Department in Canada, U.S.

and International providing administrative support and ensuring specific individual goals, plans, initiatives are delivered in compliance with governing regulations, internal policies and procedures.


Accountabilities

  • Champions a customer focused culture to deepen client relationships and leverage broader Bank relationships, systems and knowledge.
  • Providing Operational Support Services to the Audit Professional Practice team, the department and the senior management team by:
  • Accurate and timely translation of a variety of Department-wide communication such as newsletters, bulletins and other ad hoc communication/information as requested by the management team;
  • Arrange and coordinate logístical support to the Audit Training and the Audit Learning Curriculum Program with various online sessions, lunch and learns and accurate maintenance of records/logs;
  • Assist Hiring Managers and People Managers with the Department onboarding and offboarding processes;
  • Coordinate onboarding sessions for new employees including communication to the various attendees, their People Managers, presenters and assigned buddies;
  • Supports various departmentwide projects by ensuring maintenance and uploading of presentation materials/communication to the Audit Virtual Office site;
  • Supports the Audit Planning dashboards by running daily reports from Lotus Notes.
  • Providing Administrative Support to Management at VP level by:
  • Arranging/scheduling meetings, booking of conference rooms and coordinating travel requirements as required;
  • Preparing and submitting expense claims through CenterSuite or the Travel & Expense Application.
  • Providing Administrative Services by:
  • Sorting and organizing mail, ordering of business cards and office supplies;
  • Work in partnership with the Ecooffice Community Leads on the administration of security access cards;
  • Providing support to the Admin Officer, Accounting for the department's Accounting Process which includes:
  • Preparing Accounts payable entries; performing Smartstream Ledger report reconciliation;
  • Assist in the preparation, submission and support of department budgets;
  • Understand how the Bank's risk appetite and risk culture should be considered in daytoday activities and decisions.
  • Actively pursues effective and efficient operations of his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of daytoday business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business Conduct.
  • Champions a highperformance environment and implements a people strategy that attracts, retains, develops and motivates their team by fostering an inclusive work environment; communicating vison/values/business strategy and managing succession and development planning for the team.

Education / Experience / Other Information

  • Fluency in Spanish is a requirement.
  • Strong customer service & organizational skills;
  • Strong knowledge for booking and coordinating meetings;
  • Strong verbal/written communication skills;
  • Strong interpersonal skills;
  • Sound knowledge of business/bank terminology and departmental procedures;
  • Good knowledge of Microsoft Office Suite of products;
  • High level of accuracy required for all tasks.
