Opportunity:


MacEwan University is seeking Administrative Support III for a full-time replacement term opportunity with the Faculty of Fine Arts and Communications.


This position exists to provide administrative support to the Faculty of Fine Arts and Communications, primarily for the Design department.

The position is part of a small team of administrative staff who provide support services for the faculty.

Key responsibilities include:

  • Providing administrative and logístical support for department meetings and events as needed, including ordering signage and other printed materials; scheduling meetings; assembling agendas; taking minutes; booking rooms, accommodation, parking, and travel; and preparing and distributing itineraries.
  • Preparing employee transactions as needed (e.g., Human Resources templates).
  • Preparing payments to contractors as needed (e.g., Supplier and Request for Payment forms).
  • Orientating new faculty, staff, and students to MacEwan systems, including gathering and processing payroll documents, initiating offer letters, developing, and presenting howto documents, and answering basic payroll/HR questions or directing inquiries appropriately.
  • Assisting with Open House, information sessions, and FFAC events as needed.
  • Monitoring and posting content to departmental social media platforms.

QUALIFICATIONS:

  • A minimum of an Administrative Assistant diploma or other postsecondary education.
  • A minimum of three (3) years of administrative experience is required, preferably in the post
- secondary sector.

  • Experience working with Microsoft Office software suite and Google Suite.
  • Experience working with PeopleSoft and/or databases and queries would be considered an asset.
  • An equivalent combination of education and experience may be considered.
