Since 1985, Hope + Me - Mood Disorders Association of Ontario has supported the recovery and healing of individuals and families affected by mood disorders and mental illness.

With our extensive range of Peer Support groups, recovery programs, and counselling we have helped many people on their journey to recovery.

Hope + Me provides awareness, education and training, family and youth clinical supports, and recovery programs. Through our own lived experiences, we honour a client's experiences and help support their needs.

***: The Program Data Specialist & Administrative Assistant position is key to the smooth and efficient operation of the programs and the data reporting to our funders.

To liaison on behalf of staff with our cloud-based system vendors to analyze and troubleshoot issues.

The incumbent is the go-to person to answer basic questions about our program's cloud-based systems and data to ensure programs run smoothly and efficiently with effective organizational, clerical, and customer service skills.


Duties/Responsibilities:

  • Performing data entry inputting client information, appointments, group attendance, and program participation into a cloudbased management systems called EMHware and Acuity
  • Performing administrative support for program operation as assigned, such as documenting participant feedback and evaluation, transcribing testimonials, and producing minutes
  • Identifying duplication and obtaining permission to merge or eliminate recurrence
  • Adhering to data procedures and confidentiality policies.
  • Reviewing and organizing office operations along with policies & procedures
  • Coordinating with IT vendors on office equipment and software licenses
  • Supporting the quarterly reporting on internal programs for funders
  • Tracking expenses, invoices, and other financial reports to support the overall budget of the programs
  • Training, onboarding, and supporting new staff on various program technology and company policies & procedures
  • Assist with additional administrative tasks as required
  • Provides support for department meetings such as preparing agendas, meeting notes, and distributing materials

This role is for you if you have:

  • University degree or College diploma, preferably in Administration or IT.
  • Minimum of 3 years related experience in an Administrative Assistant or help desk role.
  • Advanced proficiency in Microsoft Office (Outlook, Word, Access, Excel, and PowerPoint).
  • Previous program administration experience in a notfor profit organization an asset.
  • Ability to adapt quickly and effectively to changing conditions and demands.
  • Capability to build rapport and develop relationships with a broad range of people.
  • Attention to detail and ability to perform tasks accurately in a timely manner.
  • Takes initiative and demonstrates a keen sense of urgency to achieve results within set timelines
  • Strong analytical, organizational, conceptual, and decisionmaking skills
  • Excellent verbal and written communication skills in English

Vaccines (COVID-19 and others) are a requirement of the job unless you have an exemption on a medical ground pursuant to the Ontario Human Rights Code

Job Types:
Part-time, Fixed term contract

Contract length: 12 months

Part-time hours: 22.5 per week

Salary:
Up to $23.00 per hour

Schedule:

  • Monday to Friday
  • Weekend availability

Experience:

  • Front desk/IT: 3 years (preferred)
  • Administrative experience: 3 years (preferred)
