Advancement Database Manager,
to start September 11, 2023.
Reporting to the Director of Advancement, the Advancement Database Manager fulfills the following primary roles:

  • Be an integral part of the Advancement team and provide data analytic insights for planning and implementing a diverse portfolio of fundraising strategies to support the school's development needs
  • Maintains high proficiency in Blackbaud's Raiser's Edge or Raiser's Edge NXT and perfects the data input and output process and system
  • Be responsible for the management and administration of the Advancement database and gift processing including receipting
  • Be responsible for certain key Advancement Services including prospect research & strategy, office administration, and stewardship

Duties and Responsibilities

Including but not limited to the following:
Database Management and Data Analysis

  • Processes and tracks donations and other fundraising activities to ensure accurate tracking and reporting
  • Prepares and oversees any gift documentation and prepares, tracks, and files gift agreements and other relevant gift documentation
  • Manages the prompt issuance of donation receipts for tax purposes, ensuring proper documentation, in accordance with the rules, regulations & guidelines of the Canadian Revenue Agency (CRA)
  • Post all donation entries to the Financial Edge system and periodically reconcile with the Financial System.
  • Performs monthly fundraising reconciliations, and pledge management.
  • Keeps database operational and uptodate at all times, including constituent information, gift intentions, gift entries as well as ensuring integrity and security of information stored
  • Recommends, establishes, and implements relevant Advancement procedures, systems, standards, and processes including solutions for accuracy, integrity, security (privacy), and efficiency of these; provides training for Raiser's Edge users within the Advancement office and school
  • Prepares and creates queries, lists, reports, dashboards, imports & exports, mailings
  • Produces target recipient lists for communications, invitations, appeals and campaigns, direct mail merges, and distributions
  • Works with the Director of Advancement and provides statistical analysis and financial reporting to inform the strategic direction of fundraising and ensure campaigns, appeals, and other strategic initiatives are smoothly integrated with the database
  • Works with other team members, including fundraisers, on their needs as they relate to database reports and information, to perform their roles effectively and position them for success.
  • Be responsible for maintaining a highlevel overview of the campaign's financial status including historical and current analysis, complex reports, and future projections
Research & Pipeline Management and Stewardship

  • Uses online research tools effectively and updates the information in RE records
  • Provides data mining and research on prospects and donors; Is able to present research in enduser friendly fashion for team, leaders, and volunteers
  • Is responsible for pipelinedonor relationship management system and processes including presenting pipeline reports to the Director of Advancement, and other staff to help inform fundraising and stewardship
  • Carries out research and analysis on giving histories and patterns to determine philanthropic profiles including financial ability and capacity to make a gift
  • Works with the Director of Advancement and fundraisers to help support identifying effective prospect strategies
  • Understands stewardship best practices and is able to create prompt, engaging donor acknowledgment communications and processes; Manages donor listings and delivers on certain stewardship program activities

CRA, Other Administration & Information Management:

  • Helps support alumni information management.
  • Manage and reconcile Advancement Budget
  • Prepares and presents fiscal and other development reports to the Director of Advancement and Head of School (including for the preparation of Board reports).
  • Maintains uptodate knowledge of relevant CRA rules and regulations
  • Liaises with Finance for reconciliations, to produce projections, revenue actuals, reports, and other documentation, including for audits, as needed.

  • Works effectively with colleagues within Advancement and across the school, including leadership, ensuring respectful use of time and collaboration when they are asked to support or work with this role.
