Job Summary
The Project Assistant provides administrative support for the SSHRC PDG "Developing a community for community-centered vocabulary work." Specifically, they support the project team (distributed across 6 organizations) in meeting project goals and provide administrative and secretarial support to the Principle Investigator (PI).

Organizational Status
The Program Assistant reports to PI, liaises with members of the PDG Research Team, and interacts with current organizational and community partners.

Work Performed

Writes regular updates for and fields questions from project partners, escalating to the PI when necessary.

With PI's input, prepares documentation and materials for project activities.

Maintains the project's shared files, directories, and calendars, and provides social media and website support.

Assists in the logistical organization of meetings and workshops; organizes other program activities as required.

Organizes and attends meetings; creates agendas; takes, transcribes, edits and distributes meeting minutes; books rooms and arranges audio/visual equipment and catering as required.

Develops and maintains project calendars, and provides social media and website support.

Aids in the distribution of material and information to project partners.

Monitors the budget of the research grant and all other funding sources and provides financial information to the PI as required. Performs other financial related duties such as receiving and processing expenses, completing journal vouchers and travel requisitions.

Monitors administrative systems in support of the smooth running of the grant.

Assists project research team members in the preparation of new grant applications, collecting and coordinating relevant grant information, developing budgets and statistics.

Coordinates and gathers information for the preparation and completion/writing of annual progress reports for SSHRC, project partners, and other stakeholders.

Engages in data collation and entry related to project outcomes, including tracking research outputs and workshop/event participation, etc.

Performs other related administrative duties as required.

Supervision Received

The Project Assistant will report to the PI on administrative, public relations, and organizational matters.

Reports to the iSchool Administration Manager and Director on financial matters.

Supervision Given
None.

Minimum Qualifications

High School graduation, plus one year of related training, plus two years of related experience, or an equivalent combination of education and experience.

Demonstrates a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion

Preferred Qualifications

Ability to maintain accuracy and attention to detail. Ability to communicate effectively verbally and in writing. Good interpersonal skills. Ability to assist with project coordination (i.e., planning, organizing, monitoring, completing, and evaluating projects within allocated time and resources). Computer experience at an intermediate level required using word processing, spreadsheet, and database applications (e.g., Word, Excel, FMS, HRMS, Outlook, Access). Experience organizing events. Experience working in non-profit, charitable, and community organizations and settings. Experience with library and archival professional duties and principles.
