**Summer Student - Administrative Assistant, Receptionist**

**Reporting to**:Director

**Summary**

We are seeking a motivated and detail-oriented student to join our team as a Summer Student Administrative Assistant. This is a great opportunity for students looking to gain practical experience in an office environment and develop their administrative skills.

The Administrative assistant, Receptionist is responsible for welcoming families. The Administrative assistant, Receptionist must also carry out the administrative follow-up of sales.

**Tasks**
- Answer all incoming phone calls
- Greet clients and families, first point of contact
- Take payments
- Assemble the files and packages, photocopies
- Make appointments and organize the schedules
- Coordinate cemetery services with the maintenance team
- Research
- Data entry
- Correspondence and ensure appropriate follow-up
- Transmit the documents in accordance with the various requests
- Maintains updated systems for filing, inventory, mailing, and databases
- Scanning and filing of documents
- Handling archived documents
- Preparation and sorting of mail
- Verification of sensitive documents

**Requirements and skills desired**
- Currently enrolled in a post-secondary program (college or university)
- College diploma in office administration or office technology would be an asset
- 1 year' experience in customer service or in a similar position
- Superior telephone manners and strong interpersonal skills
- Diplomacy and tact
- Ability to work with the public
- Ability to demonstrate great compassion and dignity
- Ability to work alone and in a team
- Excellent communication skills (verbal and written) in both official languages (English and French)
- Ability to manage multiple files at once and meet deadlines, while delivering quality results
- Recognized for his/her rigor, integrity, confidentiality and autonomy
- Excellent knowledge of the MS Office suite
- Knowledge of the Roman Catholic Church would be an asset
- Recent and satisfactory Enhanced Police Information Check processed by the Archdiocese.

**Job type**
- Fixed term: May 2024 to October 2024
- Full-time - 35 hours per week.
- 8:00 am to 4:00 pm Monday to Friday (including one (1) hour unpaid lunch break)

**Hourly Salary**:$16.55

L'Adjoint(e) Administratif(ve), Réceptionniste est responsable d'accueillir les familles. L'Adjoint(e) Administratif(ve), Réceptionniste doit également assurer le suivi administratif des ventes.

**Description des tâches**
- Répondre et diriger les appels téléphoniques
- Accueillir les clients et les familles qui se présentent au cimetière
- Encaisser les paiements
- Assembler les dossiers et les dossiers, faire des photocopies
- Organiser et planifier les rendez-vous et les réunions
- Coordonner les services de cimetière avec l'équipe d'entretien et de maintenance
- Effectuer des recherches
- Faire la saisie de données
- Gérer les correspondances et assurer le suivi approprié
- Transmettre les documents en fonction des différentes demandes
- Écouter et répondre à tous les messages vocaux et y répondre dans les délais impartis
- Maintenir à jour les systèmes de classement, d'inventaire, d'envoi et les bases de données.
- Numérisation et classement des documents
- Traitement des documents archivés
- Préparation et tri du courrier
- Traiter l'informations de manière confidentielle

**Compétences requises**
- Être inscrit dans un programme d'études postsecondaires dans le domaine de l'administration est un atout
- Une (1) année d'expérience dans le service de la clientèle ou rôle similaire
- Excellentes manières de répondre au téléphone et fortes compétences interpersonnelles.
- Diplomatie et tact
- Aptitude à travailler avec le public
- Capacité à communiquer à l'écrit et à l'oral dans les deux langues officielles (anglais et français)
- Être capable de faire preuve d'une grand compassion et dignité
