Reporting to the Manager, Fleet Services or designate, the primary purpose of this position is to accurately track all required maintenance repairs to Corporate Fleet assets in the work order management system.

This position is responsible for maintaining accurate Fleet inventories i.e. Fuel, Oils and Lubricants, Diesel Exhaust Fluid, Vehicle Decals and Inspection Books.

This position is also responsible for the receipt of all Fleet related invoices and their applicable accounting for submission to Accounts Payable.


Key responsibilities include:

  • Serves as the front line contact of Fleet Services
  • Completes the intake of all work requests for all Corporate Fleet vehicles
  • Maintains positive relationships with all stakeholders
  • Maintains a high level of organization with all Fleet related documentation
  • Creates, organizes and monitors all open and outstanding work orders in Maximo ensuring accurate information is collected for all work orders
  • Closes the completed work orders in Maximo
  • Liaises with all Corporate Departments for the purpose of scheduling maintenance and seasonal work in Fleet
  • Communicates time requirements for vehicle repairs to stakeholders
  • Monitors and maintains all Fleet inventories (excluding NAPA parts)
  • Routinely performs inventory counts and ensures the true value is reflected in Maximo
  • Advises Finance of any discrepancies and makes required corrections
  • Sets up assets in PeopleSoft
  • Enters equipment details to Maximo when new equipment is delivered
  • Deactivates decommissioned assets in Maximo when required
  • Ensures all required new vehicle decals are ordered in a timely manner
  • Assists Management and Fleet Training staff in the scheduling of new equipment training

Requirements:

  • 3 year college diploma in Business Administration, Office Administration or combined equivalent, related work experience
  • Minimum 3 years' experience in an administrative role. Fleet related experience is considered an asset
  • Experience with inputting information into work order management system, running reports and closing out work orders
  • Excellent organizational skills, ability to prioritize conflicting deadlines and manage workload
  • Good communication skills (both written and oral) to liaise with internal and external vendors including Napa and various outside repair facilities and dealerships
  • Basic understanding of Fleet related policies and procedures, as it pertains to the prioritization and scheduling of maintenance and repairs. Basic understanding of provincial legislation as it pertains to the Highway Traffic Act and Ministry of Transportation is considered an asset
  • Ability to review processes, seek efficiencies, and implement changes that will streamline processes
