Do you have experience as an Administrative Assistant? Have you ever participated in organizing events?

We are looking to fill an administrative assistant/secretary position for a period of approximately 2 months

Reporting to the Director of Marketing and Pricing, but in direct support of the Director of Growth and Development, the Director of Development and International Relations, and the Vice President of Development, Marketing and International Relations.

Responsibilities
- Planning and organization of commercial receptions
o (Ex: Montreal, Toronto, Chicago, Detroit or others)
o Room / invitations and follow-ups / logistics

- Planning and organizing special events related to business needs
o Room / Invitations and follow-ups / logistics

- Manager of corporate tickets dedicated to commercial representation needs
o Sporting events and industry events
o Invitations and follow-ups / communications

- Ensures follow-up of sponsorships and event registrations
o Management of invoices and requests for marketing materials in support of events and sponsorships.
o Ensure operational logistics and the proper functioning of
sponsorships

- Inventory management (promotional items and storeroom), research and proposal of new items.

- Updating and operationalizing the CRM in daily activities and supporting the marketing advisor in the management of positioning efforts through the CRM functionalities

- Management of the team's distribution lists and their updates in the marketing module (CRM)

- Visit management (Clients / partners)
o Support the sales teams and ensure logistics and
operationalization of visits by external parties
(reservation of the DJT Room / Minibus / Gifts / invitations and follow-ups /
Communications and others)
o Development of a communication procedure and information sharing

Qualifications
Diploma of professional studies (DEP) specialized in secretarial work or a related discipline.
Relevant experience of 1 to 3 years
Mastery of the Office suite.
Bilingualism (French and English) oral and written
