Aperçu du poste :
Le réceptionniste du standard accueille les visiteurs et achemine les appels téléphoniques tout en présentant notre client comme une organisation de premier plan dans l'industrie. Le titulaire du poste assumera toutes les responsabilités de réceptionniste avec précision et efficacité et assistera les visiteurs et les appelants rapidement et professionnellement. Ce poste est critique en termes de présence et de temps.

Responsabilités:
  • Répondez à tous les appels entrants sur la console avec rapidité, clarté, étiquette téléphonique et compétences en service client.
  • Utiliser les applications informatiques nécessaires pour transférer les appels avec précision.
  • Accueillir et enregistrer les visiteurs dans le journal d'enregistrement des visiteurs. Assurez-vous que tous les visiteurs fournissent des informations appropriées et reçoivent des conseils si nécessaire.
  • Compléter la correspondance départementale et les projets assignés à l'aide des programmes Microsoft Word, Outlook et Excel.
  • Aider à commander les plaques signalétiques/badges d'accès des coéquipiers.
  • Récupérer le courrier régulier entrant et recevoir les courriers entrants. Notifier les destinataires au besoin.
  • Traitez tous les fax entrants RightFax et transmettez-les à la personne appropriée en conséquence.
  • Servir de liaison entre le campus et le personnel des installations pour l'audit visuel et la configuration des salles de conférence. Assurer le dépannage si nécessaire.
  • Passez des commandes de fleurs pour des occasions conformément aux lignes directrices de la politique sur les voyages d'affaires.
  • Autres tâches assignées.

Qualifications:
  • Diplôme d'études secondaires ou diplôme d'enseignement général (GED).
  • Doit parler couramment le français
  • Au moins 1 à 2 ans d'expérience de travail à titre de réceptionniste dans la gestion d'un standard multiligne ; ou une combinaison équivalente d’études et d’expérience.
  • Expérience en standard et en zone de réception.
  • Apparence professionnelle, attitude et étiquette téléphonique.
  • Excellentes compétences en communication écrite et verbale ainsi qu'en administration et en service à la clientèle.
  • Connaissances informatiques et connaissance pratique de Microsoft Excel, Word et Outlook.
  • Capacité à exécuter des tâches avec un minimum de supervision.
  • Capacité à travailler dans un environnement dépendant d'une équipe.
  • Apprenti adaptatif; capable de gérer plusieurs tâches simultanément.
  • Capacité à agir de manière professionnelle en cas d'urgence.
  • Le poste de réceptionniste est considéré comme un poste critique en matière d'assiduité.

Work Schedule:  8:00 am to 5:00 pm EDT (lunch 12 pm-1 pm)
Short Term need: May 28 to Jun 14 '24 - Training Days May 28 & 29
Language Requirements: Fluent in English and French

Position Overview:
The Switchboard Receptionist greets visitors and routes phone calls while portraying our client as an industry-leading organization.  The incumbent will perform all receptionist responsibilities with accuracy and efficiency and will assist visitors and callers promptly and professionally.  This position is Attendance Critical and Time Sensitive. 

Responsibilities:
  • Answer all incoming calls at the console with speed, clarity, phone etiquette and customer service skills. 
  • Use computer applications necessary to transfer calls with accuracy.
  • Greet and register visitors into the visitor registration log.  Ensure all visitors provide appropriate information and receive guidance as required.
  • Complete departmental correspondence and projects as assigned utilizing Microsoft Word, Outlook, and Excel programs.
  • Assist with ordering teammate nameplates/access badges.
  • Retrieve incoming regular mail and receive incoming couriers.  Notifying recipients as required.
  • Process all RightFax inbound faxes and forward them to the appropriate person accordingly.
  • Serves as liaison between the campus and Facilities personnel for audit visual and conference room set-ups.  Provide troubleshooting as needed.
  • Place flower orders for occasions under the guidelines of the Corporate Travel Policy.
  • Other duties as assigned.

Qualifications:
  • High school diploma or general education degree (GED).
  • Must speak French fluently.
  • At least 1-2 years of experience working in a receptionist capacity managing a multi-line switchboard; or equivalent combination of education and experience.
  • Switchboard and reception area experience.
  • Professional appearance, demeanour, and phone etiquette.
  • Excellent written and verbal communication and administrative and customer service skills.
  • Computer literate with working knowledge of Microsoft Excel, Word, and Outlook.
  • Ability to follow through on assignments with minimal supervision.
  • Ability to work in a team-dependent environment.
  • Adaptive learner; able to manage numerous tasks simultaneously.
  • Ability to perform professionally in an emergency.
  • The receptionist is considered an attendance-critical position.
