About The Role
MoveSmart Rentals is hiring an experienced Broker of Record to lead the launch, regulatory setup, compliance, growth, and ongoing oversight of a new Ontario real estate brokerage. This is not a traditional Broker of Record role overseeing a small or established brokerage. We are building a technology-enabled brokerage that is expected to grow quickly, onboard a large number of agents, and manage a high volume of residential leasing transactions. The successful candidate must have direct experience opening or helping launch an Ontario brokerage and understand the full setup process, including RECO registration, brokerage policies, trust accounts, board memberships, MLS access, IDX and VOW approvals, agent onboarding, transaction review, compliance systems, and ongoing regulatory oversight. They must also have experience operating in a large or high-volume brokerage environment and know how to build the systems, staffing, supervision, and controls required to support rapid growth.
Key Responsibilities
Brokerage Launch and Setup Lead the establishment and launch of a new Ontario real estate brokerage. Manage RECO registration, regulatory applications, documentation, and compliance requirements. Establish brokerage policies, compliance manuals, recordkeeping standards, transaction review procedures, and internal controls. Set up trust account processes and related reconciliation and reporting requirements. Obtain board memberships, MLS access, IDX and VOW approvals. Coordinate with RECO, real estate boards, legal counsel, accountants, insurers, financial institutions, and technology providers. Prepare the brokerage for regulatory reviews, inspections, and audits. Brokerage Growth and Operations Build the compliance and operational structure required to support rapid agent and transaction growth. Oversee large-scale agent recruitment, registration, onboarding, training, supervision, and offboarding. Develop scalable processes for licensing verification, brokerage agreements, MLS access, technology access, compliance training, and file transfers. Determine appropriate compliance, administrative, and transaction support staffing as the brokerage grows. Identify process gaps, compliance risks, staffing needs, and operational bottlenecks. Broker of Record Oversight Serve as Broker of Record and ensure compliance with RECO, TRESA, board rules, brokerage policies, advertising requirements, and recordkeeping obligations. Supervise Brokers, Sales Representatives, and other registrants. Oversee the review of listings, agreements, offers, amendments, lease documents, deposits, and transaction files. Ensure brokerage records are complete, accurate, properly stored, and available for audit or inspection. Review advertising, websites, MLS listings, marketing materials, and public-facing content for compliance. Provide compliance guidance to agents and internal teams. Report compliance risks, file issues, transaction concerns, and required actions to senior leadership. Technology and Systems Work with product, engineering, and operations teams to build brokerage requirements into proprietary technology. Help create compliant workflows, approvals, permissions, alerts, file review checkpoints, and reporting systems. Support integrations involving MLS, IDX, VOW, CRM, accounting, document management, and communication platforms. Use technology and automation to improve onboarding, supervision, transaction review, reporting, and audit readiness. Required Experience Active Ontario Broker registration in good standing. Eligible and willing to serve as Broker of Record. Minimum 10 years of experience in an Ontario real estate brokerage environment. Minimum 5 years as a licensed Ontario Broker. Minimum 3 years as a Broker of Record, Deputy Broker of Record, or senior brokerage compliance leader. Direct experience opening, launching, or playing a senior role in establishing an Ontario brokerage. Experience working in a large, growing, or high-volume brokerage. Experience supervising a significant number of agents or registrants. Experience managing substantial listing and transaction volume. Experience with agent recruitment, onboarding, training, supervision, and offboarding at scale. Strong knowledge of RECO, TRESA, MLS rules, advertising compliance, trust account controls, transaction review, recordkeeping, audits, and inspections. Experience obtaining or managing board memberships, MLS access, IDX, and VOW approvals. Strong understanding of Ontario residential leasing and rental transaction processes.
