Who We Are Looking For:

We are looking a experienced DEALS ADMINISTRATOR thats smart, hard working, self-motivated, million dollar growth mindset/mentality.

Key Responsibilities of the Role

  • Effectively communicate with agents, lawyers, builders about ongoing or closing transactions.
  • Handle deposits and monthly mandatory RECO reconciliations for the four main brokerage accounts (Real Estate Trust Account, Commission Trust Account, General and Tax Account) alongside all real estate transactions for each particular month.
  • Provide receipt of all commission cheques received, send EFT commission confirmations to agents and co-op brokerages and set up weekly EFT transfer summaries.
  • Have a good understanding of real estate accounting software Quickbooks Online
  • Corresponding and calculating commissions for real estate transactions, invoice lawyers, co-operating brokerages, follow up with other brokerage and lawyers regarding commission cheques.
  • Handle incoming emails and effectively manage and adhere to the systems in the deals department to assist with the growth of the company.
  • Process all types of real estate transactions, including; buying, listing, leases & pre-construction builder deals.
  • Manage and respond to all agent emails on a timely basis, Handle incoming deals admin emails related to commission and/or payroll in a timely manner.
  • Have a working knowledge of our brokerage software (Docem) or be willing to learn at a very fast pace. Set up staff/agent profiles in Docem.
  • Have a working knowledge of book keeping for all brokerage expenses via Quick Book Online, manage company related banking inquiries and resolve issues.
  • Assist accountants/accounting teams with reconciling entries and tax related reports during tax season.

Qualifications:

  • Real Estate office experience is an asset but not a requirement.
  • Working knowledge of MS Office Suite (Word and Excel)
  • Ability to multi-task and excellent communication skills are must
  • Excellent organization & time management skills
  • Superior customer service skills, including excellent telephone manners.
  • Minimum 2-5 years experience in the real estate industry is an asset
  • Hands-on experience with Docem plus knowledge of Quick Books Online is preferred. Experience with other real estate deal processing software is a bonus.
  • Knowledge in relevant real estate regulations such as REBBA and requirements of FINTRAC ID policies
  • Candidate should know how to read and understand a APS, major agency forms (i.e. buyer representation) amongst others and should be familiar with overall brokerage processes.
  • Excellent analytical skills, organizational skills and ability to work independently and as a part of a team.
  • Excellent verbal, presentation, written communication skills and the ability to handle multiple priorities and tight deadlines.
  • Must be comfortable learning new computer software with strong computer skills
  • Minimum 2 years of Real Estate Deal Secretary / Deal Processing experience required

Job Type: Full-time

Pay: $20.00-$22.00 per hour

Expected hours: 40 – 60 per week
