STAFF ACCOUNTANT/PROJECT ADMINISTRATOR

Seeking a full-time STAFF ACCOUNTANT/PROJECT ADMINISTRATOR – who will report directly to the President. This position involves day to day accounting, payroll, month-end / year-end procedures, job costing, administration, construction project co-ordination/scheduling, providing leadership and mentoring to office staff plus minor IT troubleshooting.

PRO ALL Inc. specializes in Plumbing, HVAC and Electrical for new home construction. We are based in the Greater Kingston area and have been established for over 27 years. We offer group benefits and an excellent working environment.

THIS IS AN IN-OFFICE POSITION, WORKING DIRECTLY WITH OTHER OFFICE STAFF AND CANNOT BE DONE REMOTELY. Applicant must have own transportation as there is no public transportation to office/shop location.

ACCOUNTING Responsibilities:

  • Code, prepare and process A/P and A/R transactions in an accurate and timely manner.
  • Oversee, verify accuracy and ensure timely completion of A/P and A/R transactions by other office staff.
  • Advise office staff regarding handling of non-routine accounting transactions.
  • Oversee job costing/job allocations.
  • Prepare general journal entries.
  • Reconciliation of various remittances and reports.
  • Create, modify and/or maintain vendor, customer and employee profiles.
  • Assist with month-end and year-end activities and reporting.
  • Review payroll documentation including timesheets to ensure accuracy.
  • Prepare, input and process payroll data for weekly payroll and bi-weekly payroll.
  • Ensure the completion of TD1 forms.
  • Prepare and process ROE’s, WSIB, EHT and Source Deductions.
  • Prepare and maintain new employee packages and assist with new employee orientation.
  • Other accounting duties as directed.

PROJECT ADMINISTRATION Responsibilities:

  • Create, code and maintain customer purchase orders in an accurate and timely manner.
  • Oversee, verify accuracy and ensure timely completion of customer purchase orders and work orders.
  • Assist with the co-ordination of construction projects as required.
  • Schedule, process and monitor various trade permits/inspections/finals for new construction in an accurate and timely manner.
  • Oversee, verify accuracy and ensure timely completion of trade permits/inspections/finals by other office staff.
  • Give support to other office staff when needed by helping with email replies, scheduling customer service work, answering phones and contacting employees in the field.
  • Assist other office staff with minor IT troubleshooting.
  • Create various customer quotations, correspondence and spreadsheets.
  • Calculate upgrade pricing as required.
  • Provide training to new and existing office staff as needed.
  • Other duties as directed.
  • Support the development, implementation and continuous improvement of company policies, procedures and growth.

QUALIFICATIONS:

  • Minimum completion of a University degree with a specialization in Accounting.
  • Must be extremely proficient in Sage50 Premium, Excel, Word and Outlook.
  • Familiarity of construction, plumbing, HVAC, electrical terminology and processes an asset.
  • At least 5 years work experience in full cycle accounting including payroll.
  • At least 3 years of management and supervisory experience in the accounting field.
  • Must be able to trouble-shoot minor IT issues.
  • Must be able to handle confidential information and tight deadlines.
  • Must be detail oriented and have the ability to prioritize.
  • Must be highly organized with the ability to multi-task and deal with interruptions.
  • Must have exceptional written and verbal skills.
