Responsible for the administrative aspects of the management of employee benefits as well as the internal customer service aspect for the various stakeholders including active employees and retirees.

KEY RESPONSIBILITIES

Employee Movements

  • Validate and carry out all administrative transactions for employee movements related to benefits and ensure the accuracy of HRIS transactions.
  • Hiring: validating the compliance of employee benefit choices
  • Internal movements: validate if changes to the benefits are required and proceed with the changes.
  • Modification to optional plans: ensure eligibility mainly at the level of pension plans and compliance with requests. Follow-up and management of optional insurance subscription requests (EOI or evidence of insurability)
  • Parental/maternity leave: calculate monthly amounts, communicate with employees, and ensure you have the necessary documents for authorizations and monthly payments.
  • Terminations: terminate the benefits on the prescribed dates, and ensure the extension of the benefits according to the terms of the agreements. Sending general information to certain categories of employees.
  • Death: prepare letters to beneficiaries, necessary documents, and forms, and follow up on the life claim with the insurer and the beneficiaries. Ensure updates on Pension and survivor’s benefits/pension if applicable.

Monthly Billing & Payments

  • Support the BSC Team in the process of validating group insurance invoices with our systems and making payment requests (several entities, several divisions, and inpatriates)
  • Support the BSC Team in analyzing Interface errors between our system and the Insurer system weekly.
  • Follow up with the insurer for any corrections.
  • Prepare and validate monthly benefit payments for absent employees (maternity/parental) and certain categories of retirees (DC).
  • Sending information to the bank on time.
  • Ensure timely approvals are obtained.

Customer Service and Administrative

  • Service Now ticket management.
  • Refer employees to available resources.
  • Contribute to improving the customer service databases to find answers to all questions.
  • Manage changes or corrections to benefits.
  • Modifications to optional plans, answering questions, and ensuring compliance with changes.
  • For more complex group insurance problems: contact our representative, customer service, or administrative. Bi-monthly follow-up meeting.
  • Close communication with all stakeholders: HRBP, HRDS team, labor relations
  • Know all the benefit programs and how they work, as well as the particularities of several unionized divisions.

Administrative

  • Work closely with the HRDS team to manage required system updates.
  • Validate file interface with vendors
  • Update documents and reference materials post renewals and as necessary.
  • Receive and send mail
  • Collaborate with advisors on projects (renewals, cost analysis, communications, new programs, year-end processes)

REQUIRED EDUCATION & QUALIFICATIONS

All qualifications must comply with provincial human rights legislation.

Qualifications include:

  • Education Technical Admin (D.E.C.) or Bacc Admin
  • Specialized knowledge Benefits Québec and other provinces, Labor laws both Qc and other provinces
  • Skills French/English both spoken and written
  • Professional Certification
  • Experience 3-5 years in Benefits and Pension Administration

Responsable des aspects administratifs de la gestion des avantages sociaux ainsi que de l'aspect service à la clientèle interne pour les différentes parties prenantes incluant les employés actifs et les retraités.

PRINCIPALES RESPONSABILITÉS

  • Mouvements d'employés
  • Valider et effectuer toutes les transactions administratives des mouvements d'employés liés aux avantages sociaux et assurer l'exactitude des transactions SIRH.
  • Embauche : valider la conformité des choix sociaux des salariés
  • Mouvements internes : validez si des modifications des prestations sont nécessaires et procédez aux modifications.
  • Modification des régimes optionnels : assurer l'éligibilité principalement au niveau des régimes de retraite et le respect des demandes. Suivi et gestion des demandes de souscription d'assurance facultative (EOI ou justificatif d'assurabilité)
  • Congé parental/maternité : calculez les montants mensuels, communiquez avec les salariés et assurez-vous d'avoir les documents nécessaires aux autorisations et aux mensualités.
  • Cessations : mettre fin aux prestations aux dates prescrites et assurer la prolongation des prestations selon les termes des ententes. Envoi d'informations générales à certaines catégories de salariés.
  • Décès : préparer les lettres aux bénéficiaires, les documents et formulaires nécessaires, et faire le suivi du sinistre vie auprès de l'assureur et des bénéficiaires. Assurer des mises à jour sur la pension et les prestations/pensions de survivant, le cas échéant.
  • Facturation et paiements mensuels
  • Soutenir l'équipe BSC dans le processus de validation des factures d'assurance collective avec nos systèmes et de faire des demandes de paiement (plusieurs entités, plusieurs divisions et impatriés)
  • Soutenir l'équipe BSC dans l'analyse hebdomadaire des erreurs d'interface entre notre système et le système de l'assureur.
  • Faites un suivi auprès de l'assureur pour toute correction.
  • Préparer et valider les versements mensuels d'indemnités pour les salariés absents (maternité/parentale) et certaines catégories de retraités (DC).
  • Envoi des informations à la banque à temps.
  • Veiller à ce que les approbations soient obtenues en temps opportun.
  • Service client et administratif
  • Gestion des tickets Service Now.
  • Référez les employés aux ressources disponibles.
  • Contribuer à l'amélioration des bases de données du service client pour trouver des réponses à toutes les questions.
  • Gérer les changements ou les corrections des avantages.
  • Modifications des plans optionnels, réponse aux questions et garantie du respect des changements.
  • Pour des problèmes d'assurance collective plus complexes : contactez notre représentant, le service à la clientèle ou l'administratif. Réunion de suivi bimensuelle.
  • Communication étroite avec toutes les parties prenantes : HRBP, équipe HRDS, relations sociales
  • Connaître tous les programmes d'avantages sociaux et leur fonctionnement, ainsi que les particularités de plusieurs divisions syndiquées.
  • Administratif
  • Travailler en étroite collaboration avec l’équipe HRDS pour gérer les mises à jour requises du système.
  • Valider l'interface des fichiers avec les fournisseurs
  • Mettre à jour les documents et les documents de référence après les renouvellements et si nécessaire.
  • Recevoir et envoyer du courrier
  • Collaborer avec les conseillers sur les projets (renouvellements, analyse des coûts, communications, nouveaux programmes, processus de fin d'année)

FORMATION ET QUALIFICATIONS REQUISES

  • Toutes les qualifications doivent être conformes à la législation provinciale sur les droits de la personne.
  • Les qualifications comprennent :
  • Administrateur Technique de l'Éducation (D.E.C.) ou Administrateur Bacc
  • Connaissances spécialisées Bénéficient du Québec et des autres provinces, Droit du travail du Québec et des autres provinces
  • Compétences français/anglais parlé et écrit
