The Quality Records Turn-over Specialist reports to the Quality and Construction Teams. The candidate will work closely with Quality in training, implementation and auditing of records and turn-over efforts.

This candidate is well versed in pipeline and facility construction quality documents and records, and the life cycle of these documents and records. The Quality Records Turn-over Specialist is responsible for implementing field procedures and processes and preparing a training program to ensure alignment with documented Quality processes and turn-over requirements. This person will be familiar with industry standard records turn-over practices, understand the various records generated during major project construction, and be competent and experienced in records turn-over using SharePoint.

Familiarity with ISO 9001 and quality records auditing is a positive in this position.

The Quality Records Turn-over Specialist duties shall include, but not necessarily be limited to, the following:

  • Working with the Quality Team to define the records and needed processes and procedures to control and manage these in accordance with Company, Regulatory, ISO 9001, and industry best practises,
  • Training of all field personnel and the Contractor on Records Management principles, processes, tools (SharePoint), and any other project requirement,
  • Prepare turn-over packages for submission to company Operations,
  • Auditing of the field records process and activities,
  • Review of Personnel Qualifications and Calibration certificates in the associated SharePoint Libraries, forwarding notifications of upcoming renewal requirements to the Contractor and CMT and Quality,
  • Keeping accurate audit records, and ensuring Non conformances are issued and closed as outlined in the Quality Management System,
  • Through audit, identify areas for improvement, and work with relevant parties to document needed changes, train personnel on new requirements or processes, and perform audits to ensure that any changes have been effective,
  • Mentor Contractor Records personnel and ensure any problems are brought to the attention of the Quality Team and the CMT,
  • Work with the Document Control Team as necessary to promote Document Control best practices and provide feedback of any audit observations that may have applicability to Document Control,
  • Meet on a regular basis with the Contractor and Quality Team to discuss the overall implementation of field Records Management; and
  • Prepare reporting of the records turn-over process ensuring that all parties are incrementally turning over records as agreed with the Contractor and Company.
