Job Description
We are seeking an experienced and dedicatedSenior Administration Specialistto join our team. As the right hand to our executive, you will play a crucial role in ensuring smooth operations and efficient communication within our organization, you will also play a crucial role in providing exceptional customer service and technical assistance to our clients. Your responsibilities will include:
Technical Expertise: Utilize your in-depth knowledge of our products and services to troubleshoot and resolve complex issues for customers and /or vendors.
Customer Support: Respond promptly to inquiries via phone, email, or chat, ensuring a positive customer experience.
Problem Solving: Analyze problems, identify root causes, and implement effective solutions.
Collaboration: Work closely with cross-functional teams, including energy and agriculture, to address management and customer needs.
Calendar Management: Coordinate and manage executive calendars, including scheduling meetings, Board of Directors meetings, appointments, and travel arrangements.
Communication: Handle phone calls, emails, and correspondence on behalf of executives, maintaining professionalism and confidentiality.
Document Preparation: Draft, edit, and proofread documents, presentations, and reports.
Meeting Support: Prepare meeting agendas, take minutes, and follow up on action items.
Office Coordination: Maintain office supplies, organize files, and handle administrative tasks.
Event Coordination: Assist in planning and organizing company events, conferences, and the Annual General Meeting.
Travel Arrangements: Arrange travel logistics, including flights, accommodations, and ground transportation.
Qualifications
Education: bachelor’s degree in a relevant field or equivalent work experience.
Experience: Previous experience as a Senior Administration Specialist or in a similar role is preferred.
Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
Communication: Excellent verbal and written communication skills in both official languages (French and English)
Tech-Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Discretion: Maintain confidentiality and handle sensitive information with care.
Adaptability: Ability to thrive in a fast-paced environment and adapt to changing priorities.
