The OSC has a team of over 30 employees across eight provinces.

About the Candidate:

Reporting to the Office Manager, and working in a shared service model, the Legal and Projects Coordinator will support the contracting process as well as the administrative needs of members of the Senior Leadership team of Canada’s Ocean Supercluster.

This virtual role requires a unique blend of skills and experience as it bridges legal contracting to operations as well as supporting our project lifecycle. This role is a mixture of administration, legal contracting, and project management. Having a strong aptitude for learning and leveraging technology combined with an ability to effectively multi-task, and manage multiple time-sensitive priorities will be critical to this role. Roles and Responsibilities:
  • Work collaboratively with the team that supports the Project Life Cycle, including Contracting, Growth and Operations of OSC Projects to understand key priorities, track deadlines and complete administrative tasks to support those on delivering on those specifications, in a timely manner.
  • Support documentation preparation including correspondence, reports and presentations regarding all in-house legal matters, under the direction of the Director, Legal Contracting.
  • Drive support for delivery of contracting process, change requests and operations for OSC, through the use of collaborative tools to track and report progress, for example, Monday.com
  • Support members of the OSC Senior Leadership Team by way of expense reporting, calendar management and travel booking.
  • Work closely with the team to complete administrative tasks in a timely manner with great attention to detail.
  • Support the Office Manager, or such other designated reporting position, with ad hoc activities as they arise.
  • Driving document management processes, through SharePoint Access Management, in the creation, organization and necessary file management of the contracting process.
  • Assist with the creation and maintenance of reporting tools to generate metrics for quarterly Board reporting.
  • Create an efficient file management system for legal documents, precedents, and correspondence.
  • Special assignments or tasks as assigned by the Office Manager.
  • Willingness and ability to adapt to emerging technologies in data analysis, staying current with industry trends and advancements.
  • Other duties as required or assigned related to project coordination.
What you Bring:
  • Some post-secondary education or certification in administration, and/or project management.
  • 3+ years of experience as an executive or legal assistant or project analyst or equivalent, is required.
  • Enjoy working in a support role in contracts, data, reporting, and analytics to derive actionable insights for informed decision-making, is required.
  • Advanced working knowledge of Microsoft Office Suite, Adobe Acrobat, and SharePoint.
  • Familiarity with tools such as Monday.com, and PowerBI is a plus.
  • Exceptional oral and written communication skills.
  • Strong organizational and critical thinking abilities, including the ability to multi-task and juggle multiple priorities.
  • Extremely organizational skills with a high degree of attention to detail, which includes diligence with follow-up, along with a sense of urgency to get things done well and on time.
  • Flexible team player that is service oriented and shows a willingness to help internal team members.
