Your New Job
The EA for Client’s CEO will be required for about 8 weeks. Reporting to the Chief Executive Officer (CEO), the Executive Assistant’s primary role is to assist the CEO by performing high-level, confidential administrative support. The Executive Assistant understands and proactively ensures the responsibilities, needs, and priorities of the CEO are successfully met.
Your Role & Responsibilities
- Handling time-sensitive and confidential information requests, correspondence, and communications
- Creating and maintaining effective partnerships with internal staff and external stakeholders including the Board of Directors; calendar management; arranging meetings and corresponding materials
- Preparing reports and presentations; scheduling travel; and managing special projects.
- The Executive Assistant anticipates the CEO’s needs, alerts, and prepares the CEO for upcoming meetings and deliverables.
- The Executive Assistant receives general direction from the CEO and interacts with the Executive team, staff, and Client’s Board and Committee Members. The Executive Assistant also provides direction to other executive or administrative assistants as required.
Key Accountabilities:
- Executive Support to CEO (CPPO and CFO)
- Board of Directors Support and Liaison for Board Business, Reporting, and Communications
- Budget and Expense Management
- General Office and Administrative Assistance
What You’ll Need to Succeed
- Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
- Strong ability to execute work with an equity, diversity, and inclusion lens.
- Expert-level written and verbal communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Highly resourceful collaborator, with the ability to also work extremely effectively independently.
- Proven ability to handle confidential information with integrity and discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response.
- Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
- Forward-looking thinker who actively seeks opportunities and proposes solutions.
- Post-secondary education in a related field.
- At least 10+ years of experience supporting Executives and/or equivalent education and experience.
- Experience and interest in internal and external communications and external stakeholder relations.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, social media web platforms, and other technologies.
Working Conditions:
This position is a 37.5 hr/week position. Occasional evening and weekend work required.
Individual should be able to travel to different locations as required.
Individual should be able to work virtually.
