Summary of Function: Under the direction of the Property Manager, you will oversee the co-ordination of all work necessary to maintain the property.

Major Responsibilities:

Administration:

· Serve all legal documentation pertaining to non-payment of rent and/or further Landlord-Tenant litigation as directed by the Property Manager


Compactor Room (If Applicable):

· Change compactor bins as required

· Report any mechanical deficiencies in writing to the Property Manager

· Sweep floor and hose down with germicidal cleaner and deodorize as required

· Maintain room in an orderly and debris-free state

· Ensure that room is locked by 5:00 p.m. daily

· Monitor room for pests and smells and report any deficiencies to the Property

Manager


Garbage Chute Rooms (If Applicable):

· Remove all debris from garbage chute rooms

· Replace faulty light bulbs

· Report deficiencies in writing with respect to the garbage chutes, doors, locks, smells and pests, etc.


Elevators (If Applicable):

· Ensure that all current licenses and capacity plates are posted

· Monitor vandalism and report to the Property Manager

· Monitor elevator repairs by logging deficiencies and reporting problems to the Property Manager

· Call all elevator repairs to the elevator contractor and advise Property Manager of

all calls

· Enter all elevator problems in the elevator log book

· Check lighting


Cleaning:

  • .Cleaning duties on a daily basis to ensure 24/7 attention is paid to the cleanliness of the building and site
  • Ensure amenity spaces are cleaned, operational and guidelines are adhered to by residents



Hallways and Stairwells:

· Replace all burnt out light bulbs

· Repair and report all common area deficiencies including faulty door closures, plaster blisters, graffiti and vandalism, tile repairs, carpet repairs, etc.


Garage and Airlocks (If Applicable):

· Monitor and report any required repairs

· Check operation of garage door, ramp, etc.

· Report any suspicious activity: vandalism, car theft, loitering, oil leaks, etc.

· Remove all garbage and sweep where required

· Empty all garbage cans

· Replace all deficient light bulbs

· Check fan timers and operation



Storage Rooms:

· Effect all necessary locker door repairs

· Monitor all vandalism and suspicious activity

· Remove debris and clean all locker room hallways

· Replace all deficient light bulbs

Mechanical Rooms (If Applicable):

· Report all deficiencies in writing to Property Manager

· Mop, sweep and dust rooms as required

· Remove all unnecessary debris and parts

· Ensure that all chemicals are properly stored and labelled to meet WHIMIS

requirements

· Ensure that the rooms are locked at all times

· Monitor all trades that have access to these rooms, in person

· Ensure that rooms are locked at all times


Sub Basements (If Applicable):

· Replace all burnt out light bulbs

· Clean lint traps


In-suite and Common Area Maintenance:

· Effect all repairs where possible and advise Property Manager via maintenance request forms of all other required repairs

· Maintain accurate records with respect to work order station log


NOTE: The status of all work orders must always be up to date


Fire Logs:

· Investigate and record all fire log requirements including daily, weekly, and monthly

entries

· All observed deficiencies must be reported to the Property Manager


Moving Room (If Applicable):

· To be swept and all debris removed


Mail Delivery:

· Delivery of Medallion mail as directed by the Property Manager


Duty Schedule:

· Monthly on duty schedules to be filled out and submitted to the Property Manager.

· Vacation requests must be given to and approved by the Property Manager

· It is a requirement that the staff assume each other's duties and responsibilities during their respective days off or vacation


Exterior – Daily Inspection:

· Front and rear exits and exterior parking area to be swept and all litter and debris

removed

· All light bulbs to be changed as required

· All entrances and exits to be kept clear of snow and ice

· Hose down garbage bin area when weather permits

· All litter and debris to be removed

· Remove nesting material from entrance canopies

General Responsibilities:

· Each staff member is to be wholly responsible for master keys in his possession. They are at no time to be given out under any circumstances. Master keys are only to be distributed in the event of fire, safety or health

· Whenever the master key is used for emergencies, an incident report must be filed

· Staff on duty is required to lock up laundry rooms, recreation areas, locker rooms and ensure all mechanical and exit doors are secure within the prescribed time frames

· Staff is to be thoroughly familiar with emergency procedures and must keep the emergency numbers posted at all times

· In the event of an emergency where the Property Manager is unavailable, the Superintendent will assume all responsibilities for ensuring the proper sub-trade is contacted and to follow-up until the situation is rectified

· Staff is responsible for the opening and locking of apartment doors for maintenance and service personnel when entry by the tenant has been duly authorized

· Complete incoming and outgoing inspection forms

· Inspect any decorating of suites

· Check all vacant apartments weekly

· Maintain accurate stock control records

· Discuss with Property Manager for requisition of supplies

· Assist in maintaining parking control

· Notify tenants regarding parcel deliveries. Staff is not to sign for tenant's deliveries



Skills:

· Experience with supervising and motivating people

· Excellent communication skills

· Familiar with computers (Microsoft Office, Word, Excel)

· Mechanical background

· Organized and able to handle multiple projects


Effort:

· Patience and diplomacy with tenants

· Able to work long hours
