About the Company:

We are seeking a Facilities Specialist to support workplace operations, ensuring seamless facility management, occupant services, and regional workplace operations. The role involves oversight of facility maintenance, vendor coordination, asset management, and business continuity planning while maintaining a high level of service and efficiency. Reporting to the Manager of Workplace Services, the Specialist will work in a fast-paced team environment, exercise discretion, and collaborate across internal departments. The role requires a proactive mindset, strong organizational skills, and the ability to drive operational excellence in workplace services.

Responsibilities:

  • Facilities Management & Operations
  • Oversee Operations & Maintenance (O&M), ensuring all mechanical, electrical, and HVAC systems function efficiently and comply with laws and regulations.
  • Manage reactive and preventive maintenance programs, including facility inspections and repairs.
  • Supervise and coordinate vendors and contractors for general building maintenance, repairs, and compliance.
  • Maintain furniture, fixtures, and equipment (FF&E) inventories, ensuring proper tracking and upkeep.
  • Utilize internal ticketing software to monitor and resolve workplace service requests.
  • Occupant & Workplace Services
  • Oversee people relocations, new hire setups, employee departures, and workspace assignments.
  • Manage service requests such as freight elevator bookings, after-hours access, and shredding vendors.
  • Act as a point of contact for office moves, renovations, and operational readiness planning.
  • Compliance & Sustainability
  • Support business readiness for ISO compliance and annual audits (onsite/virtual).
  • Align with environmental sustainability initiatives, enhancing energy efficiency, waste management, and workplace greening programs.
  • Ensure occupational health & safety protocols are met.
  • Project & Change Management
  • Assist in managing office build-outs, renovations, and occupancy transitions.
  • Provide support for workplace transformation projects to enhance operational effectiveness.
  • Actively participate in business continuity and emergency response planning.


Qualifications:

Education details


Required Skills:

  • 2-4 years of experience in facilities management, workplace operations, or related fields, preferably in a corporate or professional services environment.
  • IFMA Facilities Management Professional (FMP) certification is an asset.
  • Experience with physical office moves, workspace planning, and new office build-outs.
  • Strong organizational, prioritization, and problem-solving skills.
  • Proactive mindset with a strong ability to work independently and take initiative.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Visio) and Adobe Acrobat.
  • Demonstrated ability to learn and adapt to evolving workplace technologies.
  • Bilingual proficiency in English and French is required.
  • Ability to travel as required.
