Job Summary:

Under the direction of the Supply/Dispatch Coordinator, provide support in the monitoring and administration of supply assignments, Long Term Occasional Assignments for Educational Assistants (EAs), Designated Early Childhood Educators (DECEs), Supply Teachers and Casual Clerical; develop and provide reports as required. Assist with monitoring and administering of Smart Find Express.

Major Duties:

Enter vacancies / absences into Smart Find Express system (SFE) as requested by School Administrators depending on the needs of the school for the day to ensure schools have enough teachers and support staff to ensure the safety of the students.

Respond to phone calls and emails from School Administrators and supply staff regarding day of assignment cancellations, investigating no shows at the school, double bookings, SFE login issues, questions and inquires relating to: general assignment questions, booking issues, missing pay inquires, supply performance issues at a school, long term assignment inquires, incorrect assignment entries and assignment adjustments / change requests.

Enter long term assignments into SFE to ensure supply staff are paid at the right rate for an extended assignment.

Review Payroll error reports and investigate pay discrepancy inquires for all supply employee groups.Ensure these are reviewed before the payroll deadline to ensure supply staff are paid in a timely manner.

Maintain the Educational Assistant (EA) spreadsheet - ensure allocations and transition support is entered on a weekly basis for all schools as outlined by the Special Education Lead and the Workforce Planning Analysts.Track work assignments for Casual EAs for long-term assignments (LTA) can be processed.

Review USL emails sent by the Ability Management team and ensure return to work and overlap support is entered in SFE for supply staff covering a permanent staff member’s gradual return to work schedule.

Perform other duties as assigned.

Qualifications:

Secondary School graduation diploma and at least 2 years of related working experience in a fast-paced environment, with strict deadlines and a combination of administrative, customer service experience

Experience with SmartFind Express would be considered an asset

HR experience with K212 (IPPS) or similar HRIS system would be an asset

Excellent multi-tasking, organization, analytical and problem solving skills and the ability to work to deadlines.

Able to work with data in Excel spreadsheets.

Proficient in utilizing OnBase document management system.

Excellent communication and interpersonal skills.

Experience and understanding of human resources processes and procedures.

Please Note: The successful candidate will be required to start work at 6:00 a.m. The position is located in the Education Centre.

This is a 12 month, 35 hours a week position.
