Brown & Beattie Ltd. are Building Science Engineers that provide services to Building Owners and Managers in the effective evaluation, restoration, maintenance, and capital planning of their buildings. We are seeking a Project Administration & Documentation Specialist to provide administrative support for multiple projects. This is a strictly administrative position, based entirely in our Richmond Hill Corporate Office. This role does not involve engineering work, site visits, or project coordination in the field.
The Project Administrator plays a crucial role in supporting the management of projects by providing administrative support and ensuring efficient project operations. This position involves handling a variety of tasks, including managing documentation, coordinating communication between internal teams, clients and contractors and assisting with financial tracking on numerous simultaneous projects. The ideal candidate will have excellent computer skills, organizational and communication skills, as well as a strong understanding of project processes and procedures, CCDC documents, contracts, invoicing, tendering, and building permits.
Prepare, maintain, and organize project documentation including:
- Contracts,
- Change Orders,
- RFQs,
- Payment Certificates,
- Tenders and Addenda,
- Reports,
- Building permits,
- Project documents,
- Other various internal documents.
Maintain a calendar of project deadlines and key milestones to ensure timely completion. Coordinate with the project team to address any scheduling conflicts or delays. Act as the primary point of contact for project administration, including for contractors, clients, and internal teams. Facilitate effective communication between project managers, contractors and clients. Ensure all parties are informed of project updates, changes, and any issues that arise.
The successful candidate must possess the ability to work independently with minimal supervision, while understanding that working in collaboration with colleagues is critical to efficient problem solving and professional growth. Effective time management skills are required as the successful candidate will be involved in multiple projects with varying and sometimes conflicting priorities concurrently. This position requires exceptional skills in Microsoft Office Suite (Excel, Word, Access and Outlook).
Overall duties and responsibilities should be expected to evolve and increase over time as the successful candidate gains experience, as-needed, and as interested where possible.
