Work Location

The successful candidate will be required to work 3x/week on-site at the customer headquarters in Ottawa, ON (after 2 weeks training of 5x/week onsite)

Key Tasks

  • Responsible for supporting and coordinating projects, and executing logistical activities related to the delivery of projects
  • Coordinate multiple projects, including all operational activities around project delivery
  • Troubleshoot unanticipated complications within the scope of project execution and recommend creative solutions to ensure operational continuity
  • Provide project activity updates to Project Manager based on feedback from participants and stakeholders
  • Maintain accurate records of data, program metrics, and reporting to internal and external stakeholders
  • Facilitate and participate in stakeholder projects, including in-person or virtual workshops, meetings, consultations and program implementation
  • Develop strong relationships with stakeholders to allow for open and constructive communication, exercising diplomacy and discretion in all interactions
  • Proactively work to build a positive image, increase reputation and awareness of the projects
  • Support the Project Manager in generating content for web and social media channels, ensuring material is accessible to all audiences
  • Ensure materials are co-developed with stakeholders as appropriate and ensure all communication materials are presented in both official languages
  • Participate in the evaluation of the projects

Key Qualifications

  • Advanced French and English - verbal/written
  • 5+ years' experience in project coordination, project administration
  • Advanced skills using Outlook (emails; calendar); Word, Excel and setting meetings via SM Teams. Must comprehend and learn other systems quickly

Qualifications

  • Bachelor's degree in administration, communication or related field
  • Knowledge of project administration, project management and marketing & communication principles
  • Demonstrated ability in all stages of project processes, including initiating, planning, executing and closure
  • Experience with web-design and social media, creating content to reach different stakeholder audiences
  • Strong organizational skills and attention to detail in a fast-paced environment
  • Exceptional skills in planning, multitasking, problem solving
  • Strong skills in communication, team collaboration, stakeholder engagement, customer service
  • Keen attention to discretion, confidentiality, and tact

Assets

  • Experience working in a postsecondary institution or other complex organization
