Senior Property Manager

Our client, a well-respected and rapidly expanding owner and developer of high-rise multi-family real estate in Ontario and Quebec is actively searching for a Senior Property Manager to manage a unique property development in the West End of Toronto. Reporting to the Director of Property Management, the Property Manager will oversee and manage the day-to-day operations of three rental properties in the Bloor West/Etobicoke area with a combined total of 306 units.
Key Responsibilities
Maintenance, Repair and Renovation Administration
- Supervise the contractors, arrange work schedules and monitor contractors’ performance;
- Conduct weekly building walkthroughs and coordinate the completion of all required maintenance items.
- Purchase order processing and contractor management
- Timely management of repairs & maintenance in accordance with the approved budget
- On-call response to after-hours emergencies as required
- Administer all preventative maintenance in accordance with service contracts
- Manage both in suite and building related capital programs under the guidance of the Construction Manager
- Responsible for the entire suite renovation process including the management of trades, inventory of materials, tracking of expenses and final delivery
- Provide operational support to the development team.
Leasing
- Work closely with the Director of Property Management to oversee and manage the leasing program
- Complete monthly market leasing surveys
- Regular maintenance of online vacancy listings
- Scheduling of tours of building amenities and available units
- Process and fully vet rental applications:
- Manage rent collection and arrears management
Budgeting
- Project revenue by determining rental rates, turnover and lease up schedule
- Provide recommendations to Senior Management on proposed capital programs; Manage tender process with direction from Construction Management and Senior Management and execute projects on time and on budget.
- Assist in the preparation of an annual income, expense, and capital budget
- Analyze, review and prepare the monthly, yearly and corporate budgets
- Research financial documents and prepare analysis reports, models and forecasts.
- Review budget requests with senior management to determine areas to reduce and expand.
- Prepare budget estimates and financial plans
- Track and review all expenditures, reimbursements and expenses
- Work with the Financial and Executive team to develop financial strategies and cost containment programs.
- Maintain a database of monthly financial analysis reports and budget modifications.
- Evaluate Accounts Receivables periodically to determine cause of billing issues and facilitate clearance of claims.
Reporting
- Responsible for the weekly reporting of leasing activity and monthly reporting of property financial results
- Complete leasing reports with market commentary, detailed activity report and operating cost variance analysis; Complete forward-looking report and highlight upcoming projects and major upcoming expenses
- Manage and administer Accounts Payable
