Position Summary

 

The Education Program Associate is responsible for the day-to-day administration required to support the delivery of continuing professional development programs and administration of the MainPro+ certification process. Family physicians are the backbone of our health system. In this role, you will support the team in advancing the OCFP’s commitment to providing continuing professional development activities to support Ontario’s family physicians.


In this role, the successful incumbent must demonstrate strong organizational, prioritization and time management skills. The Education Program Associate will be skilled at collaborating with internal colleagues and developing relationships with OCFP members and program faculty. The ideal candidate will be solutions-oriented, with a keen interest in healthcare and supporting the delivery of compelling educational opportunities for the benefit of family physicians and their patients.


Key Responsibilities:

 

Administrative Support for the OCFP’s Mainpro+ Program

 

A core initiative of the OCFP is to review and approve Mainpro+ certification applications for external organizations who offer certified educational programs to family physicians. Working with the EPS Coordinator, the Education Program Associate will be responsible for the administration of the Mainpro+ certification process. As part of these responsibilities, the Education Program Associate will:

  • Maintain a high level of knowledge of the Mainpro+ certification standards.
  • Conduct initial reviews of provincial program applications and ensuring ethical reviews are completed for certified program sessions taking place in Ontario.
  • Supporting OCFP colleagues with the certification process and confirming requirements for OCFP programs.

 

Program Administration

 

The Education Program Associate will assist in the coordination of various administrative activities to support the deliver of high-quality education programs offered by the EPS team by:

Assisting with webinars and community of practice sessions, including Zoom administration.

  • Scheduling activities that support events management including but not limited to meetings, workshops and member events, managing registration, preparing agendas and accurate minute taking.
  • Providing an excellent customer service experience and responding to member inquiries.
  • Preparing and processing invoices for EPS programs.
  • Ensuring required forms and service agreements are signed and returned in a timely manner.
  • Preparing and processing service agreements.


Reporting Relationships

 

This position reports to an OCFP Program Manager.


Required Qualifications

  • Minimum 2 years of administrative experience.
  • 2-Year College Diploma in Business or Office Administration or similar post-secondary education in a related field.
  • High level of accuracy and attention to detail as well as exceptional organizational and time management skills. 
  • Skilled communicator and collaborator with internal colleagues and external stakeholders.
  • Expertise in preparing minutes and writing clear correspondence.
  • Ability to work independently with minimal guidance and oversight.
  • Availability to work a flexible schedule on occasion, including evenings and weekends for workshop delivery.
  • Experience with Microsoft Office Suite required.
  • Previous experience within continuing education, healthcare and/or non-profits would be an asset.
  • Experience with Adobe, AdobeSign and Asana project management platform is an asset.
