Property Management Toronto (PMT) is a leading property management company in Toronto, dedicated to providing top-notch service to our landlords, tenants, and vendors. We manage a diverse portfolio of residential properties and are committed to excellence in everything we do. We are currently seeking a skilled and motivated Maintenance & Repairs Supervisor to join our team on a full-time contract basis to work onsite at our office in downtown Toronto.

Responsibilities

1. Maintenance & Repair Management:
Manage and prioritize maintenance and repair requests from tenants and landlords.
Schedule and coordinate maintenance visits with tenants and vendors.
Conduct property inspections as needed to assess maintenance requirements or verify the completion of repairs.
Track and follow up on ongoing maintenance issues to ensure resolution
Develop strategies to increase revenue streams
2. Vendor Relations & Coordination:
Source and onboard new vendors, ensuring they meet company standards.
Create a vendor database and maintain and update it regularly.
Negotiate contracts and pricing with vendors to optimize costs and service quality.
Coordinate with vendors to schedule services and ensure timely delivery.
Build and maintain effective working relationships with vendors to ensure reliability and quality of service.
3. Program Development & Process Improvement:
Develop and implement a vendor qualification process, including criteria for onboarding and blacklisting.
Create a program to manage ongoing vendor performance, including regular reviews and feedback.
Identify and implement process improvements to enhance efficiency in maintenance and vendor management.
4. Reporting & Documentation:
Produce monthly reports on vendor performance, department revenue, and updates on outstanding tasks, providing insights for continuous improvement.
Maintain accurate records of maintenance requests, vendor interactions, and property inspections.
Develop and write Standard Operating Procedures (SOPs) for maintenance and vendor management processes.

Key Experience & Qualifications
  • Strong sense of ownership and accountability; able to take full responsibility for managing the repair and maintenance process.
  • Proven experience in coordinating tasks, managing schedules, and ensuring project completion in a timely manner.
  • Ability to develop and maintain effective working relationships with vendors, contractors, and service providers.
  • Excellent problem-solving skills with the ability to troubleshoot issues and find practical solutions.
  • Strong communication skills, both written and verbal, to effectively interact with tenants, vendors, and team members.
  • Detail-oriented with the ability to manage multiple tasks and priorities simultaneously.
  • Basic understanding of building systems and maintenance procedures, with a willingness to learn and adapt.
  • Proficiency in using software tools for scheduling, record-keeping, and reporting.
  • Demonstrated ability to negotiate and manage contracts to ensure cost-effective and quality service.
  • Ability to work independently and proactively, with a focus on continuous improvement of processes and systems.
