NATURE OF THE WORK
The School secretary is responsible for ensuring, as instructed or in conjunction with others, the smooth operation of the school or centre by assuming the responsibility and coordination of the administrative tasks of school or adult education or vocational training centre secretaries. In addition, as the school secretary you will be required to:
• Plan and organize secretarial work so that the school or centre complies with the various administrative obligations associated with the school board, the ministries and various organizations and meets the deadlines of the operations and the various school or centre activities;
• Respond to requests and complaints and try to resolve problems within your competence;
• Compile the necessary information for the preparation of the budget, participate in preparing it, monitor it
• Prepare reports on the budget balances; keep the accounting books of the school or centre and of extracurricular activities, pay invoices and other accounts payable and make bank deposits; sign cheques jointly, reconcile accounts, keep a petty cash and collect funds raised during fundraising events;
• Compile requests for material from school or centre staff;
• Keep a school supply store; draw up the physical inventory of the school’s or centre’s immovables and of library books;
• Respond to students’ needs: convey, in unusual circumstances, specific and pertinent messages to students, parents and school or centre staff and, if necessary, remind those concerned; according to the policy in effect and within your competence, take the appropriate measures in emergency situations;
• Use a computer and the necessary software to perform duties related to word processing, database entry,
spreadsheets and in-house programs;
• Perform any other related duty.
REQUIREMENTS AND QUALIFICATIONS
• Hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, a Secondary School Diploma or a diploma or an attestation of studies recognized as equivalent by the competent authority;
• Have four years of pertinent experience;
• Have the ability to work effectively in French and in English; for this purpose, we require applicants to pass a test in English and French with a passing grade of 60% before considering their application;
• Have an excellent knowledge of Word and Excel; for this purpose, we require applicants to pass a test in Word and Excel with a passing grade of 60% before considering their application;
• Have a basic knowledge of office automation;
• Knowledge of the GPI system would be considered an asset
