Description

The Integrated Mission Manager provides program leadership to Woodstock Community Ministries. The work of this position supports the organizational desire to move from transactional distribution services toward relational and transformational ministry.

Connected by a common mission, they will work collaboratively with the Corps and Community Ministries Officer(s) and other ministry unit staff in both Woodstock and Norwich to bring the best opportunities and outcomes forward for the people and communities served, encouraging, and supporting spiritual growth and development; promoting opportunities for corps members and volunteers to get involved with supporting individuals/families participating in the programs.

KEY RESPONSIBILITIES:

Program and Service Responsibilities

Provide oversight and leadership to all relevant Integrated Mission programs in Woodstock (including Food Bank and Pathway of Hope), special/seasonal events (such as, but not limited to, Christmas Assistance Program, Summer Camp, and Brave), and the Christmas Kettle Campaign, ensuring ministry and program objectives are consistently met within Salvation Army mission, vision, policies, funder expectations and all legal requirements. In collaboration with the Corps and Community Ministries Officer(s) and other members of the management team, define the future vision, goals and objectives of Woodstock and Norwich Community Ministries, including the establishment of timelines in which these goals should be realized so that the organization can reach its stated vision. In collaboration with the Corps and Community Ministries Officer(s) and other members of the management team, research, plan, develop, prepare, and deliver creative and innovative programming designed to address community needs ensuring ministry objectives are consistently accomplished. Ensure programs/events provide opportunities for corps members to become involved and develop ongoing relationships with and support for individuals/families participating in the programs. Work alongside Norwich Community Ministries Coordinator to create and facilitate integrated programming in the community of Norwich. Ensure that staff and volunteers in Woodstock work together to achieve the purposes of the organization and enhance the ministries, mission, and vision of The Salvation Army. Ensure clients are being referred to the Corps Officer(s) (or designate) for pastoral and spiritual guidance/support and that information is being shared with clients regarding church programs. May provide spiritual support for Pathway of Hope Program participants as required. Operate within effective change-management, organizational development, and staff engagement principles to promote service excellence and develop strong teams. Monitor and ensure consistency in case management systems and practices as required. Develop the necessary systems, processes, and tools to better support the facilitation, collection and sharing of knowledge generated from programs, reports, and evaluations. Ensure debriefs and program evaluations are regularly completed for all programs/events. May engage and provide input into a local Emergency Response Plan, assisting with local emergency response as required.

Human Resources

Responsible for the direct supervision all Woodstock Community Ministries staff. Hire, orientate, train, reward, and discipline in consultation with the Corps and Community Ministries Officer(s) ensuring compliance with and Territorial/National Standards, and the Ontario Division Human Relations Department. Provide ongoing, consistent coaching, performance feedback, and manage the evaluation (including probationary evaluations) of employees they supervise, ensuring that they work together to achieve the purpose of the organization and enhance the ministries of The Salvation Army. Responsible for the leadership and coordination of the volunteer program for Woodstock Community Ministries, including directing the development strategies for recruitment, training, and retention of volunteers. Liaise with THQ Volunteer Services to gain an understanding of all Volunteer Policies & Procedures / Best Practices and ensure compliance. Provide direction and support to volunteers in Woodstock working within their programs/special events and ensure that they work to achieve the purposes of The Salvation Army. Responsible for preparing the volunteer work schedule for volunteers in programs under their areas of responsibility. Provide support to the Norwich Community Ministries Coordinator in the recruitment, onboarding, and ongoing supervision of volunteers in their programs. Responsible to ensure that each position for those supervised has a clearly defined and up-to-date job description and job duties, outlining that employee’s authority and responsibilities, in consultation with the Corps and Community Ministries Officer(s). Prepare, post, and maintain all departmental work schedules for those supervised in accordance with operational requirements ensuring adequate coverage. Payroll processing as necessary. Ensure compliance for all mandatory training, certificates, and Policy & Procedure review (i.e., police checks, driver’s abstracts, etc.) for staff and volunteers and identify any training requirements. In collaboration with the management team, develop strategies and recommendations for staff and volunteer development. In collaboration with the management team, develop and implement approaches that promote staff engagement and retention.

Financial and Administration

Maintain and promote positive working relationships/partnerships and communications with funders and community stakeholders. In consultation with the Corps and Community Ministries Officer(s), assist with the preparation of grant/funding applications. Provide feedback to the Corps and Community Ministries Officer(s) on business and program matters to ensure program excellence through program and outcome evaluation, external consultation, continuous quality improvement and standards of ethical practice. Responsible to ensure they work within the budget for their specific programs; provides input to the Corps and Community Ministries Officer(s) for the preparation of the annual budget. Develop the necessary systems, processes, and tools to better support the facilitation, collection and sharing of knowledge generated from programs, reports, and evaluations. Prepare and submit reports, proposals, program evaluations, and/or business plans as requested to Corps and Community Ministries Officer(s). Ensure accurate confidential written records, logs of activities, including activity reports and statistical information, are collected for each program and reports are submitted as required and client data in Link2Feed. Prepare, analyze, submit, and act on incident reports and complaints, maintain records of all reports and deal with complaints effectively and in a timely manner. Maintain a strong understanding of the work, challenges, and successes of the Community Ministries team, ensuring regular updates are provided to the Executive Director. Responsible to ensure monetary and non-monetary donations received through their programs are accurately recorded following TSA Finance guidelines; ensuring information is forwarded on for the issuing of donation receipts for income tax purposes. In collaboration with the Corps and Community Ministries Officer(s) seek opportunities to build and develop strong relationships with current and potential stakeholders (businesses, community-based organizations, and other potential partners); particularly as it relates to the Christmas Kettle campaign and Integrated Mission initiatives; this may include delivering presentations to Service Clubs, churches, schools etc. In collaboration with the Community Ministries team, ensure promotional materials are available and regularly updated; this includes presentations, brochures, flyers, advertisements, newsletters etc. In consultation with the Corps and Community Ministries Officer(s) oversee the marketing of relevant programming including social media for the programs under their leadership, ensuring a dynamic social media presence for related programs and special events. As required, assist the Corps and Community Ministries Officer(s) with the development and implementation of MU policies and procedures to achieve compliance with Salvation Army policies and procedures, applicable federal and provincial legislation, as well as other legal requirements and best practices; comply with all Salvation Army operating guidelines, Minutes, Directives, etc. Ensure that all policies, procedures, and protocols are up to date and meet compliance requirements, reviewing all on a regular basis (minimum yearly). Assist with preparation for any audits and reviews, including risk assessments etc.

Health and Safety

Understand and work in compliance with the Ontario Health and Safety Act (OHSA) and Regulations and abide by The Salvation Army’s health and safety policies and procedures. Ensure that the measures and procedures prescribed (OHSA) are carried out in the workplace and that every reasonable precaution is taken for the protection of the worker and workplace. Identify and implement effective practices for risk management to ensure workplace safety, minimize liability, and uphold the reputation of The Salvation Army and Ministry Units. Ensure that equipment, materials, and protective devises as prescribed (OHSA) are provided and maintained in good condition. Ensure that proper procedures are followed in the event of a workplace injury or illness and that incident investigations are conducted as applicable.

Perform other duties as required.

WORKING CONDITIONS:

This is a permanent full-time position based on 40 hours per week. Typical working location for this position is an office environment. Mostly works regular business hours – some evenings and weekends may be required; required to respond to emergencies as needed. Required to carry a cell phone. Ability to lift/move more than 20 pounds as required; may encounter verbal abuse from clients. Travel mostly local between multiple locations, community meetings etc., is associated with this position (up to 10% travel).

Normal Hours of Work: regular business hours Monday to Friday, some evenings and weekends may be required; required to respond to emergencies as needed.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Relevant Undergraduate University Degree, preferably in a Social Science. Current valid First Aid/CPR Certification and Non-violent Crisis Intervention and Prevention Certifications and Mental Health First Aid or willingness to obtain. Alternative combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

Minimum of three (3) years of prior related experience in social services including leadership and supervisory experience and experience working with a diverse population. Knowledge of community-based resources, Salvation Army programs and resources and experience networking with government and social service agencies. Experience in planning and managing successful community initiatives and events in the non-profit sector is preferred. Experience coordinating and overseeing volunteers. Valid Ontario Class “G” driver’s license, personal vehicle required and insurance, current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.

Strong understanding of community development and a demonstrated ability to create and foster strong relationships with community partners resulting in mutually beneficial collaboration. Committed to service excellence with a base knowledge of human resource management, and leadership principles as they relate to non-profit organizations; able to lead, coach, inspire, and motivate teams to reach their full potential, thus enhancing organizational effectiveness. Able to establish and maintain positive working relationships with others, both internally and externally, with a non-judgmental approach, as well as the ability to work in a consultative, diplomatic, and tactful manner. Strategic thinker: able to see ‘the big picture’ and develop effective plans/strategies and evaluate their effectiveness in order to improve operations and programs and source new opportunities. Competency in making and implementing effective decisions with strong organizational, interpersonal, time management and communication skills, both oral and written. Demonstrate a high level of integrity, good judgment, and maintain appropriate professional boundaries and confidentiality. Attention to detail, problem solving and analytical skills. Must have solid skills and experience using Microsoft Office. Represent The Salvation Army in a professional, positive, and engaging manner. Self-motivated and disciplined. Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening. Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
