Program Coordinator Employment Type: Part-time (0.6 FTE; ~22–24 hours/week) Location: Remote (Alberta-based) Reports To: Executive Director Works With: Alberta Sport Leadership Association (ASLA) Safe Sport Sub-Committee; PSOs/MSOs Overview The Program Coordinator supports ASLA’s Safe Sport Program (SSP), with a primary focus on coordinating Alberta’s Safe Sport Complaint Mechanism (ABSSCM). Responsibilities include working with the Executive Director (ED) in assisting Provincial Sport Organizations/Multi-Sport Organizations (PSOs/MSOs) with implementation, education, and reporting; coordinating stakeholders; tracking compliance; preparing reports for the ED; and ensuring resources and training are delivered on time. The ideal candidate brings strong coordination skills, a service mindset with PSOs, and practical knowledge of safe sport standards, reporting mechanisms, and trauma‑informed practices. Key Responsibilities 1) ITPM & Safe Sport Program Coordination (Primary Focus) Serve as the operational point of contact for ASLA’s ABSSCM provider. Track and coordinate PSO/MSO participation/adoption agreements, onboarding, and renewal timelines. Maintain SOPs, including, but not limited to: Policy update: version control, approvals, and notifying PSOs. Reporting: support ED in maintaining and reporting metrics. Monthly Program Dashboard & ED Brief: Provide a clear, consistent snapshot of program health. Risk & Issue Log Management: Keep a live view of program risks/issues with mitigation and follow-through. Develop service expectations, and checklists related to the Independent Third-Party Mechanism (ITPM) case management process and provisional measures (administrative oversight, not legal determination). Coordinate routine quality‑assurance touch-points with the ITPM provider, log issues, risks, and process improvements. 3) Education, Training & Resources Coordinate safe sport education calendars and resources (e.g., onboarding modules, refreshers, role‑specific sessions for coaches/officials/administrators/boards). Keep up-to-date registration lists, attendance, post‑session feedback, and certificates; maintain a resource hub (FAQs, primers, quick guides, toolkits) and keep materials current. Support knowledge‑transfer activities to community sport organizations where appropriate (in collaboration with PSOs/MSOs). 4) Reporting & Analytics Compile monthly/quarterly program dashboards and Board/Committee packages (e.g., adoption status, training completion) Coordinate annual summaries and lessons‑learned to inform program improvements. Support ED in preparing of AGM and Annual Report as it pertains to programs. 5) Community Engagement & Partnerships Maintain positive relationships with PSOs/MSOs and sector partners, coordinate outreach sessions, office hours, and networking opportunities. Contribute to ASLA’s communications (updates, notices, micro‑learning pieces) that promote safe, welcoming sport. 6) Financial & Administrative Support Track program expenditures against budget; assist with purchase orders and contract administration for training or technical services. Manage program calendars, shared drives, and record‑keeping in accordance with privacy and retention requirements. Qualifications Must‑Have 3+ years of coordination, program administration, or compliance experience in sport, non‑profit, education, or related public‑sector settings. Working knowledge of safe sport standards and mechanisms (e.g., UCCMS/AB UCC, complaint/reporting pathways, screening, Rule of Two, interactions/travel policies). Demonstrated ability to coordinate multiple stakeholders and deadlines with diplomacy and discretion. Strong time management skills. Strong writing, editing, and document‑control skills (agendas, minutes, SOPs, dashboards, briefings). Proficient with spreadsheets and databases for tracking adoption/compliance and producing routine reports. Integrity, confidentiality, and trauma‑informed communication; understands duty‑to‑report concepts. Nice‑to‑Haves Experience supporting PSOs/MSOs or National Sport Organizations (NSOs) familiarity with Alberta’s sport system and Sport Physical Activity and Recreation (SPAR). Exposure to ITP/ITPM operations (intake logistics, routing, service standards) Education/Training Post‑secondary credentials in sport management, public administration, social sciences, education, or comparable experience. Safe sport and trauma‑informed practice training (or willingness to complete promptly upon hire). Work Conditions Part‑time remote role requiring daytime availability; periodic travel within Alberta for stakeholder meetings/training. Requires handling sensitive information with high confidentiality and professionalism. Compensation & Term 0.6 FTE (approx. 22–24 hours/week). Salary/band commensurate with experience and ASLA’s compensation framework. Benefits and vacation per ASLA policy (if applicable to part‑time roles).
