JOB SUMMARY: The role of a maintenance planner is to anticipate and eliminate potential unplanned downtime delays by planning and coordinating maintenance resources, parts, materials, and equipment access to ensure maximum reliability of production equipment and the production facility while supporting the policies, goals, and objectives of the company. The planner shall focus primarily on planning, scheduling, and coordination of all plannable maintenance work performed on production equipment and plant facilities to ensure or extend the life expectancy of equipment thereby aiding in the total reduction of maintenance cost and increased equipment uptime. Primary metrics include Maintenance Utilization, Top downtime offenders by Asset & by Value Stream, % PM Attainment, Preventative Maintenance Work Order tracking and % TPM Attainment. Key Responsibilities Responsible for the scheduling, tracking and evaluation of preventative, predictive and corrective maintenance activities. Work with various departments including supervision, the Production Coordinator and Scheduler, and Maintenance Team Leads to assist in maintenance work prioritization as well as scheduling and communicating planned events. Collaborate with maintenance supervision to schedule manpower and resources for planned maintenance work. Assist with development of annual overhaul/shutdown schedules. Monitors performance to plan and follow up as necessary. Coordinate with the MRO buyer to ensure all materials are available before planned work is ready for scheduling. Maintain CMMS database as the Administrator – manage eMaint account maintenance, new user set‑up, work orders, asset related info., PM tasks, PM scheduling and reports & dashboards. Manage Maintenance Request Work Order System, new user set up and provide training to new users. Review all requests, approve/deny, prioritize, and assign requests to technicians accordingly. Ensure key performance indicators are captured and reported for equipment reliability, departmental performance, and planning. Communicate departmental KPI’s, successes and failures via periodic Maintenance & Reliability Meetings. Maintain maintenance department KPI display board via “Ultra VNC Viewer”. Update KPI’s and lines available for Preventative Maintenance daily. Develop PM tasks and implement preventive and predictive maintenance schedules for all production equipment. Manage Repairable Spare program, maintaining stock level accuracy and monitoring repair status of incoming and outgoing child assets. Assist in establishing right‑sized inventory levels for repairable spares program to mitigate the risk of downtime due to stock out. Manage maintenance contractors to ensure they meet ISN requirements, have the proper documentation, qualifications, and licenses on file. Monitor contractors while on site to ensure they meet the Company’s Health, Safety and Environmental (HSE) policies and that they are following the pre‑task safety plan(s) in place. Monitor and track contractors’ compliance to schedule. Follow up on work completed to ensure work performed is satisfactory (meets our requirements). Negotiate & establish third‑party service contracts in areas such as facility maintenance, HVAC, Air Compressors, lifting device inspections (apart from forklifts), PPE inspections and Barcode Label Maker Maintenance Contracts. Comply with all safety, security and company policies and procedures. Perform any other related job that may be assigned by the Maintenance Manager from time to time. Education & Qualifications High School Diploma or equivalent. Minimum 5 years of supervisory experience. MMP Certification or Certificate in Maintenance Planning & Scheduling required. 2+ years’ experience in Maintenance Coordinator / Planner / Scheduler or relevant field. Strong mechanical and/or electrical aptitude. Experience Experience with current CMMS (eMaint) desirable but not required. Working knowledge of ERP systems and Microsoft Office software systems. Intermediate‑advanced skill set in Microsoft Excel and PowerPoint required. Able to communicate clearly and effectively with all levels of the organization including production associates, senior leadership and management personnel, vendors/suppliers, and equipment manufacturers. Must have strong problem‑solving skills; the ability to work efficiently under stressful situations. Must be able to perform multiple tasks simultaneously in a fast‑paced environment. Ability to apply knowledge of standards, methods and procedures to work situations. Excellent interpersonal, analytical, and personal organizational and project management skills. Able to work in a self‑directed manner and provide direction to others. Positive attitude and willingness to learn new concepts/technologies. Must be committed to safety and continuous improvement while promoting teamwork and leading by example. Exposure to working within a union environment considered an asset.
