Head of Business Operations & Executive Enablement Reporting to: Managing Director Role Overview MC Advisory ("MCA") is a growing boutique professional services advisory firm operating within the McInnes Cooper ("MC") platform. As the firm continues to scale, MCA is seeking a Head of Business Operations & Executive Enablement to serve as the operational backbone of the firm and a trusted execution partner to the Managing Director.This role is accountable for firm-wide operating effectiveness, including executive enablement, operating rhythm and governance, billing execution, information and asset management, and coordination with MC shared services to ensure consistent, high-quality execution. Working in close partnership with the Managing Director, this role translates priorities and decisions into action through disciplined execution and follow‑through. It is a senior, hands‑on player‑operator role requiring strong judgment, ownership of outcomes, and the ability to operate as a peer to senior advisors and practice leaders. How This Role Evolves as MCA Continues to Scale As MCA grows, this role will evolve from direct execution toward increased focus on operating model design, team enablement, and scalable infrastructure. Over time, this role will: Support the phased build‑out of the firm’s operations function, including identifying when and how to delegate, automate, or add capacity to support growth. Partner with the Managing Director to anticipate future operational needs and shape the roles, systems, and processes required to support expanded market development and service delivery. High Level Job Scope Firm Operating Rhythm & Governance Own and administer core firm governance and compliance processes, including conflict checks and file opening and closing procedures. Own and coordinate firm‑wide onboarding and core operational systems, including home office setup, systems access and adoption, policy training, and ongoing system integrity and standards, in coordination with MC IT. Own the firm’s document, asset and process management framework, including shared‑drive structure, documentation of core processes and policies, and continuous improvement to ensure information is accurate, accessible, and scalable. Support the Head of Market Development through coordination and execution across select sales operations, including administration of the firm’s CRM (HubSpot), acting as the primary liaison with external marketing partners, and project managing all MCA events. Billing & Financial Operations Own the end‑to‑end billing process for MCA, including monthly billing cycles, internal coordination, distribution, and issue resolution. Serve as the primary liaison with MC Finance on billing‑related matters, including the preparation, review, and submission of invoices and expense reports. Enforce firm‑wide discipline around time entry, expense submission, and billing inputs to support accurate, timely, and predictable billing cycles. Administer billing‑related operational workflows, including client and firm credit card processing, billable and non‑billable expense approvals, and delegated time‑off processes within firm systems. Authority & Positioning This role operates at the firm level with clear authority to enable consistent, high‑quality execution across MCA, independent of any single practice or function. It is empowered to enforce firm‑wide operational and process standards, hold team members accountable to timelines and commitments, coordinate priorities across firm‑level initiatives, Dermat? be the primary operational escalation point, and elevate risks and issues to the Managing Director with clear options and recommendations. Qualifications & Experience Experience in senior operations or practice management, ideally in a professional services or consulting environment. Demonstrated ability to operate as a hands‑on execution partner to senior leadership, translating direction into action and owning outcomes across multiple operational domains. Strong written and verbal communication skills, with the ability to produce clear, professional materials for executive and Board‑level audiences. Experience coordinating firm‑wide operational processes and workflows, including governance forums, onboarding, systems enablement, and information management. Experience administering or overseeing CRM systemsDesktop frameworks, operational tools, and shared systems to support coordination, data integrity, and reporting; HubSpot experience is an asset. Experience supporting professional services billing and financial operations in coordination with finance teams. Experience working with internal and external marketing or communications partners, including coordination of firm events and external‑facing initiatives. Comfort operating in a scaling organization with evolving structure, exercising sound judgment, prioritization, and discretion in the absence of perfect clarity.
