The Major and Planned Giving Officer provides essential administrative, research, and coordination support to advance the Ottawa Humane Society’s major gifts, planned giving, and campaign initiatives. Duties and Responsibilities Planned Giving and Estate Administration Support the administration of estate files, including reviewing and tracking wills, legal correspondence, and disbursements. Maintain accurate records of legacy donors and estates in Raiser’s Edge. Assist in correspondence with executors, lawyers, and family representatives. Prepare acknowledgment letters, stewardship updates, and reports for legacy donors and estates. Help promote legacy giving initiatives and materials in coordination with Communications. Support cultivation efforts by coordinating legacy donor visits, calls, and recognition touchpoints. Major Gifts and Campaign Support Assist with the implementation of OHS Campaigns in collaboration with the Manager, Major Gifts and Campaign and the Director, Strategy and Development. Support the cultivation, solicitation, and stewardship of major donors, corporations, and foundations by: Preparing customized proposals, presentations, and briefing materials for donor meetings. Drafting personalized correspondence, follow-up notes, and impact reports. Coordinating and participating in select donor meetings, tours, and events to provide logistical and stewardship support. Support the cultivation, solicitation, and stewardship of mid-level donors, helping to build relationships and move donors along the giving continuum. Track and monitor donor outreach, pledges, recognition activities, and campaign progress in Raiser’s Edge. Assist in planning and executing donor cultivation and stewardship events, including receptions, behind‑the‑scenes tours, and recognition gatherings. Coordinate logistics for donor visits, presentations, and special experiences, ensuring all details are managed professionally and reflect OHS’s brand of compassionate care. Grants and Reporting Track grant deadlines, submissions, and reporting requirements. Assist in compiling grant applications, data, budgets, and supporting documentation. Support preparation of stewardship and impact reports for funders and partners. Internal Collaboration Work closely with Communications to ensure donor recognition and messaging are aligned across all platforms. Collaborate with internal departments to ensure event details, donor recognition, and follow‑ups are completed accurately and on schedule. Additional Duties Be thoroughly familiar with and ensure adherence to pertinent legislation, regulations, contracts, guidelines, OHS mission, policies, procedures, plans and collective agreement. Be familiar with and ensure compliance with all health and safety policies and procedures. Participate in the identification and evaluation of OHS program goals and objectives. Participate in professional development opportunities. Produce and maintain accurate reports, records, and files. May be required to assume some of the responsibilities of the Manager Major Gifts and Campaign. Qualifications Post‑secondary education in fundraising, administration, business, or a related field. Minimum 2 years’ experience in a not‑for‑profit fundraising, donor relations, or administrative role. Demonstrated understanding of donor cultivation, stewardship, and relationship management processes. Knowledge of planned giving, grants, or campaign fundraising is a strong asset. Experience with Raiser’s Edge (or similar CRM database). Excellent attention to detail, organization, and time management. Professional working proficiency in spoken and written English is required. Working conditions / Physical requirements Employee may be required to work evenings, holiday and weekend shifts.
