Client Service Associate Apply for the Client Service Associate role at BMO. Responsibilities Book meetings with new prospects and prepare introductory packages. Coordinate marketing activities on behalf of the advisory team, including website, social media initiatives, client recognition for meaningful life events, and the planning of client events. Schedule and help prepare client portfolio reviews for the Investment Advisors, including setting up client calls, scheduling meetings, preparing reviews and providing updates to IA. Follow up on client inquiries, account maintenance, new account set‑up, transfers and remitting funds from registered and non‑registered accounts upon client’s request. Resolve client complaints in a timely and effective manner; escalates as required. Accept and execute client‑initiated trades over the phone or in person and provide stock information as requested. Handle clients’ general day‑to‑day requests and inquiries including basic money movement (e.g., wires, transfers), technology issues, and account opening and update, and follow up in a timely and confidential manner. Generate reports and documents for IAs and clients as requested and process items for client accounts and files. Maintain and organize client database and client files. Monitor incoming and outgoing assets and notify IA of required actions to rebalance portfolios. Administer and process documentation related to client files and regulatory requirements. Monitor redocumentation of client accounts on a regular cycle to ensure client information and documentation is up‑to‑date. Ensure transactions and tasks are appropriately assigned to team members and completed. Mentor and coach new or junior members to the team and branch. Provide team members with support on technology issues, use of new technology, and general inquiries and escalations related to policies, procedures, and processing. Gather and distribute information on updates to training, guidelines, technology, and other business‑related information. Develop rapport and instill confidence with the client to develop credibility and promote a positive client experience resulting in long‑term client relationships and delivery of an exceptional client experience. Assist with managing a portfolio of clients to retain and grow relationships. Support IA’s in individual client investment needs to provide professional, customized investment‑related advice, sales and services. Work collaboratively within the market, BMO partners and the community to build relationships and deliver the desired customer experience. Follow through on the risk and compliance processes and policies to ensure we safeguard our customers’ assets, maintain their privacy, act in their best interests, and ensure an effectively run branch. Protect the bank’s assets and clients’ assets and comply with all regulatory, legal, and ethical requirements. Maintain the confidentiality of client and bank information. Complete complex and diverse tasks within given rules/limits and may include handling escalations from other employees. Analyze issues and determine next steps. Broader work or accountabilities may be assigned as needed. Qualifications Typically between 3–5 years of relevant experience and/or certification in related field of study or an equivalent combination of education and experience. Advanced knowledge of investment process and procedures. Advanced knowledge of administrative process and procedures as contained in Sales Administration Manual. Advanced knowledge of proprietary products and services to identify potential products and services to client needs and advise IA(s). Knowledge of compliance practices and regulations. Knowledge of insurance and group products is an asset. Knowledge of trust and estate services is an asset. Knowledge of financial / retirement planning. Knowledge of trade processing rules. Successful completion of the Canadian Securities Course & Conduct and Practices Handbook. Current registration as Investment Representative (IR). 10 CO credits / compliance training over a 2‑year cycle to meet Mandatory IIROC Continuing Education requirement. Specialized knowledge. Salary $34,200.00 – $63,000.00 Pay Type Salaried & Commission The above represents BMO Financial Group’s pay range and type. Salaries will vary based on factors such as location, skills, experience, education, and qualifications for the role, and may include a commission structure. Salaries for part‑time roles will be pro‑rated based on the number of hours regularly worked. For commission roles, the salary listed above represents BMO Financial Group’s expected target for the first year in this position. BMO Financial Group’s total compensation package will vary based on the pay type of the position and may include performance‑based incentives, discretionary bonuses, as well as other perks and rewards.
