Highlights of the job We’re hiring a full‑time, permanent Coordinator, Talent and Rewards based in Edmonton, AB. In this role, you’ll be a key partner to the Director, Talent and Rewards — managing calendars, coordinating meetings, preparing polished reports and presentations, and keeping SharePoint content organized and up to date. You’ll also play a central role in EPCOR’s annual Talent Review program by coordinating confidential leadership assessments and organizing sensitive succession planning materials with accuracy and discretion. In addition, you’ll support financial processes by managing third‑party invoices and ensuring timely, accurate payment through Accounts Payable.

What you’d be responsible for Meeting Logistics Managing meeting logistics, preparing and distributing agendas and meeting materials, scheduling appointments, and handling meeting planner requests.

Serving as the first point of contact in the Director’s absence, reviewing emails and screening or redirecting calls. Attending meetings to organize materials and track actions and decisions. Coordinating on‑site and off‑site facilities for meetings, events, and training sessions, including space, AV, and catering. Document Management and Reporting Developing administrative processes, templates, and document management structures for the Talent and Rewards team.

Drafting, formatting, and proofreading documents, correspondence, and presentations to ensure clarity and accuracy. Establishing and managing electronic records on SharePoint and shared drives, ensuring proper retention and archiving. Compiling information from multiple groups for regular business reports and coordinating finalization and posting. Administration Managing mileage tracking, expense claims, travel arrangements, and P‑Card reconciliations.

Coordinating office moves, new‑hire setups, and ordering materials and supplies. Handling ServiceNow requests and working with Help Desk, IS, and Facilities to resolve workspace issues. Providing general administrative support and backup coverage for other administrative staff. Talent Management Managing the administrative components of the annual Talent Review program, including steering committee support, milestone tracking, and action follow‑up.

Preparing confidential summary reports, formatting presentations, maintaining assessment lists, and tracking project plans to support succession planning discussions. Overseeing completion of leadership assessments for S2–S4 leaders and initiating follow‑up actions as needed. Serving as SharePoint administrator for succession planning, organizing confidential materials and managing site access. Creating, formatting, and updating complex fillable forms, checklists, and worksheets.

Preparing requisitions and purchase orders and issuing them to vendors. Confirming service delivery, receiving invoices, and coding them for Accounts Payable. Monitoring charges against open purchase orders and resolving discrepancies with Accounts Payable or vendors. Maintaining contractor/consultant tracking and fringe benefit cost spreadsheets.

What’s required to be successful Education and Experience High school diploma, GED or equivalent level of secondary education is required. Completion of an appropriate certification program from an approved business school or college would be considered an asset. 5+ years of directly related and progressively responsible administrative experience is required, including: General administrative support and coordination for senior leaders. Calendar management and meeting logistics to support company‑wide programs. Document and records management.

Systems including ERPs (Oracle), intranet, SharePoint and Microsoft applications.

Experience

Other important facts about this job Jurisdiction: CSU 52 Class: A3 Hours of work: 80 hours biweekly Wage: Starting at $34.12 per hour (Final Wage and Step will be determined at the time of selection and is based on a combination of factors as outlined in the CA that may be found online). A requirement of working for EPCOR is that you are at least 18 years of age, successfully attained a high school diploma (GED, or equivalent level of secondary education) and legally entitled to work in Canada (a copy of a valid work permit may be required). If you are considered for the position, clearance on all applicable background checks (which may include criminal, identity, educational, and/or credit) and professional reference checks is required.

Some EPCOR positions require an enhanced level of background assessment, which is dictated by law. These positions require advanced criminal record checks that must also be conducted from time to time after commencement of employment. A technical/practical assessment may be administered during the selection process and this exercise will be used as a part of the selection criterion.
