Reporting to the Chief Executive Officer, the Director, Finance and Administration plays a vital role in shaping the organisation’s financial strategy and operational excellence. This position oversees the Finance, Accounting, and Administration teams, ensuring that the agency’s financial operations, governance processes, and administrative systems support its mission‑driven work. Key Responsibilities Strategic and Operational Planning: Develop and implement strategies for finance, accounting and administration, aligning them with the organisation's goals. Oversee and plan the finance and administrative needs of the agency, developing the finance and administration budget. Governance Functions: Member of the Board Finance Committee; support the CEO with reporting to the Board of Directors and Committees. Supports the continuous strengthening process of Macaulay governance practices including the development and maintenance of finance and administration policies and procedures. Provides knowledge and expertise to Macaulay and its community partners or other groups as requested. Attends external committees and meetings that relate to finance or accounting, as required. Support funder proposal and financial reporting requirements. Financial and Accounting Functions: Leads the financial planning processes, ensures accounting practices meet Accounting Standards for Not‑for‑Profit Organizations (ASNFP) and ensures financial controls are in place that meet best practice. Determines and prepares financial reports that would assist in the effective management and operation of Macaulay’s programmes. Responsible for preparation of reports to Board and Committees. In consultation with CEO, prepares and supervises preparation of reports for external use –i.e., Budget submission and financial reports to funders. Supports Program Managers in Forecast preparation as required. Provides staff resources to Finance Committee of the Board – make recommendations to committee regarding budget expenditures, investments, and financial/accounting policies and procedures. Ensures suitable internal control systems are developed to minimise financial risk, develop policies, procedures and controls that help secure the assets of the organisation. Formulates and implements cash management procedures which maximise earned interest under the constraints of bank agreements and conservative risk factors, under guidance of the Finance Committee. Oversee the audit process, prepare and supervise preparation of year‑end reconciliation of balance sheet accounts, prepare audit file, face sheets, year‑end accruals and journal entries and prepare complete financial statements for purpose of year‑end audit. Formulates, implements, and monitors appropriate accounting systems, procedures and techniques that will assure competent and high‑quality financial management of resources and adherence to requirements of funders and legislation. Liaise with funders and resolve questions related to budget, reports, procedures, expectations that may arise from time to time. Annual Plan and Budget / Rolling Annual Estimates: Oversight of the budget design and development and reporting systems aligned with the Annual Operating plan and provide rolling budget estimates Support to CEO in the development of multiple scenarios and risk/mitigation strategies Support to the Senior Leadership Team in development of Annual Departmental strategies and budgets Administrative Functions: Oversee various administrative functions, such as office management, resource allocation, procurement, records management and storage, ensuring efficient and effective operations and good customer service. Oversee property/building maintenance, repair and security; liaise with landlord regarding tenancy issues. Negotiate leases and insurance in best interests of agency. Oversee capital asset management, acquisitions, amortisation, and disposals. Ensure compliance with finance policies and documentation protocols. Leadership: Supervises and mentors a team of accounting and administration staff, fostering a collaborative and high‑performing environment with exceptional customer service and continuous quality improvement. General: Attend agency staff meetings and training, team meetings and special events. Maintain optimal attendance at work. Work in compliance with all applicable regulations and laws Comply with all Macaulay policies, practices, and quality standards. Work to further Macaulay’s mission, vision, values and strategic directions. What You Bring University degree in Finance, Business, or a related field, or equivalent experience. Minimum 10 years management‑level financial accounting, auditing and budgeting experience. Preferred experience in the not‑for‑profit sector with government funder expertise. Strong strategic thinking, leadership, and supervisory skills. Proficient in ACCPAC Windows, Excel and Word. Excellent organisational and project management skills. Excellent interpersonal skills and team building skills. Ability to collaborate across departments and with executive leadership.
