Position Overview Job Title: Specialist, Intake and Resolutions (2) Department: Professional Conduct Reports to: Supervisor, Early Resolution Language Requirement: Bilingual Non-Imperative (Contract) & Bilingual Imperative (Permanent) Location: Canada Classification: 12‑month contract & full‑time Why Join Us? How This Role Supports the Team The Specialist reviews, analyzes, and makes recommendations regarding cases as they relate to the professional obligations of licensees. The incumbent provides documentation for cases referred to the Complaints Committee, and facilitates the resolution of certain cases in accordance with applicable policies and procedures. Responsibilities (but not limited to) Receive and review cases Gather additional information from complainants and licensees for preliminary review, if needed. Analyze information and identify issues relating to licensee obligations. Provide risk‑based recommendations to the supervisor. Perform alternate dispute resolution (ADR) for early‑resolution cases. Engage complainants and licensees on education about relevant codes, by‑laws and regulations. Identify unauthorized practitioners (UAPs) and share information with the department. Summarize cases and prepare documentation such as triage memos and risk‑assessment worksheets. Attend Complaints Committee meetings and take minutes Present cases through written summaries and oral presentations. Collect additional documentation and perform assessments as required. Facilitate case resolution and draft settlement agreements. Prepare documentation of Committee decisions, including closing letters, referrals and appointment letters. Synthesize issues, information and decisions, incorporating relevant content from regulations, by‑laws and the Code of Conduct. Maintain case files and documentation per department processes. Acquire and maintain knowledge of the College’s policies, regulations and strategies, staying current with legislation and best practices. Collaborate with internal stakeholders to ensure legislative compliance requirements are met promptly. Key Skills and Abilities Time management and organization to handle deadlines and case volumes. Analytical, problem‑solving and judgment skills to mitigate risk and develop solutions. Flexibility and initiative in a fast‑paced, changing environment. Interpersonal and stakeholder relationship management, to de‑escalate and engage in ADR. Excellent written and verbal communication for detailed case documentation. Attention to detail for accuracy and completeness. Tact and discretion for confidential and sensitive matters. Required Education and Experience College diploma in business administration, law, or immigration. 1–3 years of work experience in a law firm, administrative tribunal or regulatory body. Knowledge of legal and administrative law concepts and terminology, and the ability to acquire knowledge of the College Act, regulations, by‑laws and Code of Professional Conduct. Knowledge of ADR techniques and their appropriate application. Knowledge of, or ability to acquire knowledge of, the Canadian immigration system.
