Yard Dawgs Lawn Care is hiring an HR & Office Operations Manager for our Calgary HQ (in-office, 330 40 Ave NE, Calgary, AB T2E 2M7). Full-time, permanent, Monday to Friday, 8:00 AM to 4:30 PM. $65,000 to $80,000 per year (based on experience), plus extended health and dental benefits.
1. ROLE (The Core Purpose)
You are the single owner of all HR, full-cycle recruiting and candidate screening, back-end administration, and HQ office operations at Yard Dawgs Lawn Care, one of Western Canada's fastest-growing home service companies operating across 9 branches in Canada and the US.
Your mission is simple: keep a screened, ready-to-go bench of talent for every role, bring total order and HR compliance to our back end, and bring high energy to our people. You will own every job posting, candidate screen, new-hire onboarding checklist, employee file, HR policy, signature, and lease so nothing ever falls through the cracks, while serving as the most outgoing, upbeat culture champion in the building.
2. RESPONSIBILITIES (What You Own Every Day)
- Full-Cycle Recruiting: write, post, and actively manage job ads on Indeed and recruiting channels for all new hires across every branch (field technicians, sales reps, customer care, and branch leaders).
- Screening of All New Hires: review resumes daily, conduct upbeat phone and video screening interviews, verify references and driver abstracts, and filter for Yard Dawgs culture fit before handing top candidates to hiring managers.
- Ready-to-Go Candidate Bench: build and maintain an active, pre-screened bench of candidates so whenever a seat opens or a seasonal hiring wave hits, screened candidates are already lined up and ready to onboard.
- HR Compliance: ensure full compliance with provincial, federal, and state HR regulations, employment standards, occupational health and safety (OH&S), and workplace policies across our Canadian and US branches.
- New-Hire Paperwork and Employee Relations: own 100% of offer letters, employment agreements, e-signatures, driver abstracts, background checks, benefits enrollment, performance documentation, and progressive discipline or termination paperwork when needed.
- Onboarding and Training: coordinate Day-1 onboarding and training schedules (Notion Knowledge Base, system logins, uniforms, and equipment sign-outs) so every new hire starts 100% ready.
- Back-End Document and Lease Control: organize, track, and maintain all company agreements, building leases, fleet and vehicle leases, insurance certificates, WCB/workers' compensation accounts, vendor contracts, and compliance renewals in a spotless digital filing system.
- Office Management and Team Culture: run daily Calgary HQ office operations, keeping the office organized, stocked, and welcoming.
- Plan and run company team events, branch celebrations, employee awards, shout-outs, and seasonal kickoffs.
- Basic Financial Admin: collect and code receipts, track basic office invoices, and prepare hours and inputs for payroll (no complex accounting required). 3. RESULTS (How Success Is Measured: Your Scorecard KPIs)
- Always-Ready Candidate Bench and Fast Screening: maintain a live, pre-screened bench of at least 3 to 5 ready-to-go candidates per core role at all times, with 100% of qualified applicants screened within 24 business hours.
- Day-1 Onboarding Readiness: 100% of new hires are fully screened, have contracts signed, logins active, training schedule booked, and gear ready at least 48 hours before their start date.
- 100% HR Compliance and Document Accuracy: every active employee file, offer letter, NDA, building lease, and vehicle lease is compliant with applicable employment regulations, signed, filed, and up to date, with zero missing signatures or missed renewal deadlines.
- Team Engagement and Culture Cadence: plan and execute 100% of scheduled monthly and quarterly team events and employee awards on time and on budget, keeping HQ energy high and organized.
- Same-Day Admin Turnaround: internal document, signature, recruiting, and HR requests from leadership are actioned within 24 hours. 4. REQUIREMENTS (Skills, Tools & Character Traits)
- Strong Recruiter and Screener: proven ability to source applicants, run high-volume phone and video screening interviews for all new hires, spot A-players quickly, and keep a warm candidate bench ready to deploy.
- Strong Knowledge of HR Regulations and Employment Law: solid working knowledge of employment standards, labour regulations, hiring and termination compliance, WCB/OH&S requirements, and HR best practices (CHRP/CPHR designation or formal HR training is a bonus).
- Obsessively Organized: you live by checklists, trackers, and clean folder structures. Loose ends bother you until they are closed, signed, and filed.
- Naturally Outgoing and Upbeat: the most outgoing, warm, and high-energy person on the team, someone candidates love talking to on a screening call and teammates love seeing at HQ.
- Proven HR / Admin / Office Operations Ownership: 2 to 5+ years of experience owning HR administration, recruiting and candidate screening, office operations, or operations support in a fast-paced business.
- Clear, Fast Communicator: crisp and professional in writing, on the phone, and in person.
- Tech and Tool Fluency: proficient with Google Workspace (Docs, Sheets, Drive, Gmail), Indeed Employer and ATS pipelines, Slack, Notion (or similar wikis and CRMs), e-signature tools, and basic receipt and payroll admin.
- Core Values Fit: you embody Yard Dawgs' three core values (Accountability, Customer Obsessed, and Excellence) and want to own your seat completely without micromanagement. Pay: $65,000.00-$80,000.00 per year
