Where design meets opportunity, and careers are built to last
Averton is an experienced, award-winning homebuilder, community developer and construction management company. We’re looking for a Accounting Administrator / Bookkeeper to join the accounting by keeping day-to-day accounting accurate, current and organized. Complete assigned bookkeeping and accounting administration, while providing light reception, basic IT coordination and administrative onboarding and offboarding support. Accounting remains the primary focus, while maintaining a practical and flexible approach to supporting daily office operations.
Key responsibilities
• Process supplier and subcontractor invoices, verify supporting documentation and approvals, and code costs to the correct entity, project and account.
• Resolve invoice discrepancies with internal teams and vendors; flag missing approvals, duplicate charges and unusual transactions before payment.
• Prepare payment batches for review and approval, maintain vendor records, and respond to routine payment inquiries.
• Record receipts and other assigned transactions; maintain accounts receivable records and follow up on outstanding balances as directed.
• Complete bank and assigned balance-sheet reconciliations; investigate differences and prepare corrections for review.
• Support month-end close with schedules, reconciliations and organized supporting documents.
• Maintain accurate intercompany and project accounting records under the Accounting Manager’s direction.
• Assist with expense processing and tax-filing support where assigned; maintain confidentiality and complete records.
• Improve recurring processes, keep procedures current, and raise problems early with a proposed next step.
• Provide general accounting administration: maintain files, assemble supporting documents, prepare routine correspondence, update records and help the Accounting Manager to organize recurring deadlines and requests.
• Provide light reception coverage, including greeting visitors, answering and directing calls, receiving deliveries and helping with routine office inquiries.
• Assist with basic IT needs such as setting up workstations, and helping with routine software or equipment issues; coordinate unresolved problems with the external IT provider
• Coordinate recruitment activities and administrative onboarding and offboarding for employees: gather required forms, arrange approved equipment and account setup, prepare workspace and orientation logistics, and track completion with the hiring manager and the accounting manager.
• Support company events, meetings and team initiatives
• Handle employee and financial information confidentially. System access and equipment purchases require appropriate approval. Qualifications and experience
• Typically 3 or more years of practical bookkeeping or accounting administration experience; demonstrated capability may substitute for a specific tenure.
• Diploma or certificate in accounting or bookkeeping, or equivalent practical experience. A CPA designation is not required.
• Working knowledge of accounts payable, reconciliations, basic accounting principles and month-end support.
• Construction, real estate, project costing or multi-entity experience is an asset.
• Comfort using accounting software, Excel and electronic document systems; able to learn Averton’s systems and help colleagues with basic office technology.
• Strong attention to detail, discretion and a practical approach to resolving discrepancies. Authority and working relationships
• Works closely with Accounting Manager, accounting, project managers, estimating and construction staff.
• Prepares and processes transactions within established procedures.
• Payment release, banking changes, material adjustments and accounting-policy decisions remain subject to designated approvals and segregation of duties. What success looks like
• Invoices and transactions are processed accurately and on schedule.
• Reconciliations and assigned close tasks are completed by agreed deadlines, with differences explained.
• Records are easy to retrieve and approvals are complete.
• New employees have their administrative requirements, workspace and approved equipment ready; routine reception and office requests are handled reliably.
• Accounting Manager receives early notice of exceptions and spends less time correcting avoidable errors or chasing routine work.
