About LevelUP

LevelUP HCS provides recruitment consulting and strategic talent solutions that help companies scale with confidence. We combine specialist recruiters with management-consulting thinking, and place dedicated teams on site with our clients so they work as part of their hiring function.

The role

You'll join our on-site team at a leading global investment bank in Montreal. You'll be the coordination hub for a team of 4-5 recruiters. You'll own interview scheduling and logistics from first contact to offer paperwork, making sure candidates, hiring managers and vendors have what they need, when they need it.

Montreal hiring includes a high volume of contractor recruitment. That means coordination moves quickly and you'll work closely with external vendors as well as internal teams. The office culture is relaxed and tech-focused, and the pace is steady.

What you'll be doing

  • Scheduling and managing logistics for interviews between candidates and hiring managers
  • Preparing candidates ahead of interviews with job details, itineraries and day-of information
  • Coordinating with recruiters, candidates and vendors to keep processes moving
  • Collecting and documenting interview feedback and debriefs
  • Producing daily interview reports for the recruitment team and reception
  • Preparing new-hire paperwork and supporting onboarding
  • Managing referral and unsolicited CVs
  • Supporting campus recruitment activity and internship postings
  • Building good working relationships with HR, hiring managers and vendors

What we're looking for

  • Fluent French and English (essential)
  • Strong organisation skills and close attention to detail. You'll be juggling a lot of diaries at once.
  • Reliable with admin: forms, trackers and follow-ups get done properly and on time
  • A friendly, responsive, customer-service approach with both recruiters and candidates
  • Comfortable with Excel for tracking (advanced skills not needed)Calm under pace, and happy coordinating with external vendors
  • Flexibility to support occasional early-morning or after-work interviews (core hours are 9-5)
  • A bachelor's degree in HR, Communications, Marketing or a related field
  • Experience in recruitment coordination, HR admin or a similar role is a plus, as is experience with an ATS such as Taleo

Where it could lead

If you're interested in sourcing or a future move into a recruiter or sourcer role, we'd love to hear that. There's scope to get involved in sourcing as you settle in.
