PurposeReporting to the Director, Revenue and Finance Manager, the Sales and Finance Operations Administrator will provide administrative support to the sales, marketing, and finance teams through effective use of ERP, CRM, reporting, and other administrative tools and applications. This role ensures smooth execution of sales operations, onboarding, performance management, expense administration, and finance processes. The Sales and Finance Operations Administrator will also assist the Finance department with invoicing, reconciliations, credit memos, and other finance-related tasks.Job Duties (include but are not limited to):JK AdministratorInventory Control & Technical Coordination:Maintain and update inventory records using Acumatica ERP, including stock tracking, adjustments, and system reporting.Label, categorize, and store i3 international products such as IP cameras, NVRs, cables, power supplies, and accessories based on technical specifications and urgency levels.Prepare and coordinate inventory transfers between i3 International and JK Quality warehouses, technicians, and project sites, ensuring accuracy and timeliness.Perform physical stock audits, cycle counts, and reconciliation of discrepancies with minimal supervision.Monitor stock levels based on project demand and proactively purchasing order requests.Handle RMA processes and warranty claims in coordination with technical staff and external suppliers.Support technicians with the preparation of installation kits and ensure timely availability of essential equipment.Coordinate with technicians from different provinces regarding shipping and service call requests to ensure timely delivery of equipment and uninterrupted field operations.Administrative & Office Support:Draft and process purchase orders, sales orders, and service call reports with accuracy and attention to technical details.Organize and maintain physical and digital records through Acumatica ERP for inventory transactions, vendor communications, and internal reports.Manage incoming emails, calls, and client inquiries related to service calls, warranty, invoicing, and payments.Assist with the scheduling of technical service calls, working closely with operations and sales teams to align technician dispatches.Maintain a clean and organized inventory area and oversee replenishment of office and field supplies.Sales Operations AdministrationSalesforce administration – build, configure, and automate technology solutions to deliver business value.Work with stakeholders to define system requirements and customize platforms (Salesforce, CRM, ERP, quoting tools, expense tools, and related applications).Develop, analyze, and provide reporting for Sales Executives, including:All revenue tracking dashboardsMeeting KPIs and opportunity KPIsNew account opening & revenue trackingTracking ARR, Net new sales, BDM stack ranking, Revenue backlogSalesforce reporting and dashboard creation to support weekly Sales Calls and Managers' meetings.Administration of all sales and marketing-related expenses in the system (checking, posting, processing, and steps to payout).Quoting tool administration (including expense management, vacation tracking, and performance review documentation).HubSpot email drip campaign tracking and reporting.Acumatica sales revenue reporting, partner revenue tracking, backlog reporting, and related dashboards.Provide training for sales and marketing applications to newly hired and onboarding staff members.Maintain onboarding schedules and related onboarding metrics for new hires.Assist with planning and execution of corporate sales/marketing events such as national sales meetings, customer walkthroughs, and presentations.Job SpecificationsEducationCollege Diploma and/or equivalentExperience1–2 years of experience in finance and/or accounting1–2 years of experience with CRM and ERP reporting, database administrationKnowledge/Training (preferred but not required)Computer experience (word processing/data management)CRM system experience (report generation and tracking)
