Position Overview
We are seeking a Parts Coordinator to support ourtechnicians. In this role, you will ensure our service technicians have the right parts, at the right time, across multiple locations. This is a highly hands-on position that requires strong organization, technical curiosity, and the ability to stay on top of fast-moving priorities.
The ideal candidate brings experience with engine and/or generator parts, understands how to manage inventory in a dynamic service environment, and enjoys working closely with technicians, service managers, and internal stakeholders.
Key Responsibilities
1. Parts Sourcing and Procurement
- Source and order parts for generator service, repairs, rebuilds, and planned maintenance.
- Identify parts with longer lead times and proactively secure them to avoid job delays.
- Build and maintain strong relationships with suppliers, negotiating pricing and lead times when appropriate.
- Coordinate rental equipment requirements such as testing instruments or specialty tools.
- Maintain relationships with repair/calibration providers for instruments and equipment as needed.
2. Inventory Management
- Maintain accurate inventory levels in the ERP system, ensuring parts, fluids, consumables, and rebuild materials are always available.
- Perform regular cycle counts, reconcile discrepancies, and maintain up-to-date records.
- Monitor inventory stored at remote stock locations, ensuring consumables and parts are replenished on a weekly or as-needed basis.
- Track parts usage, returns, warranty items, and core returns.
3. Receiving and Documentation
- Receive incoming shipments; verify against purchase orders and inspect parts for accuracy and quality.
- Attach invoices, quotes, tracking information, and packing slips to the corresponding purchase orders.
- Keep ERP records organized, accurate, and fully traceable for service history and audits.
4. Daily Operations Support
- Pick and stage parts for service jobs, ensuring alignment with work orders.
- Support technicians with urgent and unplanned breakdown requests.
- Communicate real-time parts availability to the Scheduler for accurate job planning.
- Prepare shipments or deliver parts to field teams or repair providers when required.
5. Shop Organization
- Maintain a clean, organized, and safe parts room with clear labels and accessible storage.
- Identify opportunities to improve shop flow, inventory accuracy, and parts tracking, and support implementation of process improvements.
- Keep shelves, bins, racks, and the overall workspace in a professional and orderly condition.
6. Physical and Operational Support
- Assist technicians during load tests and other tasks requiring physical labour, including moving cables or equipment.
- Support occasional heavy lifting and hands-on activities when the service department is stretched.
- Reduce technician downtime by managing errands, deliveries, and parts pickups as required.
Requirements
- Experience with engine, heavy-duty, automotive, or generator parts strongly preferred.
- Previous experience in parts coordination, warehouse operations, or inventory management.
- Comfortable working in a fast-paced and dynamic service environment.
- Strong attention to detail with the ability to accurately identify and track parts.
- Clear and professional communication with technicians, vendors, and internal teams.
- Excellent organizational and time-management skills.
- Ability to anticipate shortages and resolve parts-related issues quickly.
- Capable of negotiating pricing and terms when required.
- Comfortable using ERP systems to manage inventory and documentation.
- Physically capable of lifting up to 50 lbs and assisting with operational tasks.
- Valid driver's license required.
