Vesta Wealth Partners is a Calgary-based wealth management firm offering active, passive, factor-based, and alternative investment solutions. We work closely with clients to design optimal portfolios and deliver a consistent, high-quality service experience.

We're hiring a Bilingual Client Onboarding & Servicing Associate who can manage structured onboarding workflows while supporting high-net-worth clients with professionalism, accuracy, and clear communication. This role sits within our Client Onboarding & Servicing team and works closely with our Associate Portfolio Managers (APMs) to ensure client tasks are completed efficiently and accurately.

This position is open to candidates across Canada, with core working hours aligned to the Mountain Time zone.

What You'll Do

Client Onboarding

  • Act as a point of contact for French and English-speaking clients
  • Collect and verify onboarding documentation
  • Coordinate end-to-end onboarding workflows and provide timely updates

Client Servicing

  • Respond to client inquiries professionally and promptly
  • Support bespoke requests and escalate when needed
  • Maintain accurate client records across custodians

Custodian & Account Administration

  • Process account updates, EFTs, wires, cheques, and transfers
  • Track transfer progress with custodians
  • Enter and review billing information and cash journal entries

Reporting & Deliverables

  • Upload quarterly/annual reports and tax slips
  • Provide servicing updates to Associate Portfolio Managers (APMs)

Cross-Functional Collaboration

  • Work closely with APMs on client servicing tasks
  • Collaborate with the Automation team to identify and support process automation opportunities
  • Support workflow improvements, compliance activities, and data quality initiatives
  • Support ad hoc administrative and data-related work as needed

What You Bring

Required

  • Bilingual in French and English
  • Bachelor's degree or equivalent experience
  • 2+ years in financial services, wealth management, or operations
  • High attention to detail and strong organizational skills
  • Clear, professional written and verbal communication
  • Ability to work independently and collaboratively
  • Comfort with large datasets and new systems
  • Strong problem-solving skills
  • Ability to work effectively in a growing, evolving environment

Nice to Have

  • Experience supporting high-net-worth clients
  • Familiarity with custodians and onboarding workflows
  • Experience with automation tools or client portals
  • Knowledge of Canadian securities regulations

Ce poste est ouvert aux candidats partout au Canada, avec des heures de travail de base alignées sur le fuseau horaire des Montagnes.

Ce que tu vas faire

Intégration des clients

  • Agir comme point de contact pour les clients francophones et anglophones
  • Rassembler et vérifier la documentation d'intégration des clients
  • Coordonner les flux d'intégration clients de bout en bout et fournir des mises à jour en temps opportun

Service à la clientèle

  • Répondez aux demandes des clients de façon professionnelle et rapide
  • Soutenez les demandes personnalisées des clients et escaladez les demandes au besoin
  • Maintenir des dossiers clients précis entre les dépositaires

Dépositaire et administration de comptes

  • Traiter les mises à jour des comptes clients, les transferts éducatifs, les virements, les chèques et les transferts
  • Suivez les progrès du transfert avec les concierges
  • Saisissez et examinez les informations de facturation des clients et les entrées de trésorerie

Rapports et livrables

  • Téléverser les rapports trimestriels/annuels et les forfaits fiscaux, ainsi que les bulletins de revenus
  • Fournir des mises à jour sur le service aux gestionnaires associés de portefeuille (APM)

Collaboration interfonctionnelle

  • Travailler en étroite collaboration avec les APMs sur les tâches de service client
  • Collaborez avec l'équipe d'automatisation pour identifier et soutenir les opportunités d'automatisation des processus
  • Soutenir l'amélioration des flux de travail, les activités de conformité et les initiatives de qualité des données
  • Soutenir les travaux administratifs et liés aux données ponctuels selon les besoins

Ce que tu apportes

Obligatoire

  • Bilingue en français et en anglais
  • Baccalauréat ou expérience équivalente
  • 2+ ans en services financiers, gestion de patrimoine ou opérations
  • Grande attention aux détails et solides compétences organisationnelles
  • Communication écrite et orale claire et professionnelle
  • Capacité à travailler de façon indépendante et collaborative
  • Confort avec de grands ensembles de données et de nouveaux systèmes
  • Compétences solides en résolution de problèmes
