As a Facilities Coordinator, you will support the day-to-day operation and maintenance of our facilities, ensuring locations are safe, well-maintained, and fully operational. You'll provide administrative and operational support using the ServiceNow platform, act as a key point of contact for colleagues, visitors, and third-party vendors, and deliver a high standard of customer service.

This role supports essential processes such as Health & Safety administration, systems management, room bookings, and mobile device coordination, helping to create a positive workplace experience.

This is a hybrid role, with on-site work three times per week at the AMS Downtown Toronto office.

Key Accountabilities:

What you'll be doing:

  • Resolve internal and external Facilities requests via Service Now, in line with KPIs.
  • Manage reception desk (if applicable) including incoming calls and acting as the first point of contact for internal and external visitors.
  • Ensure all employees visiting the office each day are signing in via the Sign In App (if applicable).
  • Proactively make improvement suggestions, e. g., processes, communication and flag any problems or risks.
  • Support travel requirements for relevant stakeholders, assist with booking travel, help troubleshoot travel issues.
  • Administer mobile devices for the business, including working with telephony providers on optimal offers, and ensuring compliance and governance requirements are met inasmuch as pragmatically feasible.
  • Manage relationships with internal and external stakeholders, including third party vendors.
  • Organise / facilitate internal and external events to ensure that they are successful.
  • Conduct regular floor walks to identify any necessary repairs or renovations (if applicable).
  • Manage office supplies including kitchen facilities and stationery (if applicable).
  • Oversee the cleaning / disinfecting schedules for the building /office floor(s) (if applicable).
  • Organise and send communication to regional locations as needed.
  • Ensure compliance with local / global Health and Safety regulations as well as AMS policies and procedures and meet ISO standards.
  • Support internal and external Audits, as appropriate.
  • Support other regions, where appropriate, based on demands.
  • Support Services: Provide general support for facility-related projects and initiatives as instructed by the Facilities Manager.

Skills & Experience:

  • Ability to
    multitask and manage changing priorities
    in a fast-paced environment
  • Strong
    attention to detail with the ability to support
    high-volume operational tasks
  • Experience supporting and coordinating
    office events and workplace activities
  • Background in
    office administration, hospitality, customer service, event planning, or office/project coordination
  • Strong
    communication skills
    and confidence engaging with
    internal and external stakeholders
  • Experience with the ServiceNow platform is preferred
  • A strong
    customer service and hospitality mindset
    , with a positive and people-focused attitude
  • High energy, proactive, and enthusiastic approach to work
  • Experience supporting employee onboarding and offboarding processes
  • A creative mindset with the ability to design engaging internal communications
