What You Will Do:

The Mobile Onsite Coordinator provides exceptional administrative and operational support to ensure the efficient execution of onsite activities. This role plays a critical part in maintaining customer satisfaction, upholding regulatory and safety compliance, managing invoicing and expense reporting, and ensuring the accuracy of all documentation. The successful candidate will contribute to a collaborative, high-performing onsite team environment while supporting both Cal Onsite and ESL Onsite operations.

Key Responsibilities

Operational & Administrative Support

  • Coordinate and manage administrative activities to support onsite operations.
  • Assist with planning, scheduling, and resource allocation to ensure successful project execution.
  • Maintain accurate records, job documentation, inventory tracking, and QA paperwork.

Customer Experience

  • Support high levels of customer satisfaction through timely communication, issue resolution, and accurate administrative processing.
  • Collaborate with internal teams to proactively address customer needs and project challenges.

Team & Collaboration

  • Provide consistent administrative support to onsite and corporate teams.
  • Ensure tasks are completed accurately, efficiently, and within required timelines.

Compliance & Safety

  • Ensure all administrative processes align with applicable regulatory and quality standards, including ISO 17025, NAIL, and safety requirements.
  • Monitor and track safety documentation and incident reporting in alignment with company and regulatory standards.

Key Performance Indicators (KPIs)

Pre-Job Planning & Resource Allocation

  • Confirm job dates, scope of work, and site-specific requirements.
  • Assign technicians, vehicles, and equipment based on corporate scope.
  • Proactively communicate and resolve obstacles to maintain customer retention.

Pre-Job Compliance & Documentation

  • Ensure all site-specific requirements (drug testing, background checks, etc.) are completed.
  • Prepare complete job folders, including work orders, payment details, site requirements, and contacts.

Post-Job Inventory & Paperwork Accuracy

  • Verify all paperwork aligns with the scope of work and regulatory standards (ISO 17025, safety).
  • Submit complete and accurate documentation to Corporate for invoicing.
  • Submit all expense reports and receipts.

Post-Job Returned Items Management

  • Track returned equipment and parts.
  • Ensure inventory systems are updated accurately.
  • Provide cost estimates and turnaround times for returned items.

Safety & Compliance

  • Track and report safety incidents, near misses, good catches, and required safety forms (SF1, SF3, SF4, SF8).
  • Maintain full adherence to safety and regulatory standards.
