The Assistant to the Operations Manager will provide comprehensive support to ensure smooth and efficient operations within Kreos Aviation. This role involves administrative coordination, compliance oversight, and direct assistance to the Operations Manager as well as supporting the Chief Pilot and the SMS manager as required.

The ideal candidate is highly organized, detail-oriented, and thrives in a dynamic aviation environment where safety, efficiency, and exceptional client service are top priorities.

Key Responsibilities May include:

Operational & Administrative Support

  • Track pilot anniversary dates and coordinate performance reviews.
  • Assist the Operations Manager with day-to-day operational duties and special projects.
  • Prepare and distribute operational memos and internal communications.
  • Support project management initiatives and monitor progress on assigned tasks.

Flight Crew Support

  • Provide assistance and support to flight crews, ensuring their needs are met for safe and efficient operations.
  • Assist in creating and maintaining the Flight Crew Employee Handbook.
  • Coordinate the setup of training events, monitor completion, and ensure all related paperwork is submitted on time.

Recruitment & Staffing

  • Post flight crew job advertisements on relevant platforms and manage application flow.
  • Review candidate applications and identify qualified interview options.
  • Schedule and coordinate interviews with candidates and hiring managers.

Compliance & Quality Assurance

  • Audit operational documents for quality assurance (QA) and compliance with company and regulatory standards.
  • Maintain accurate and up-to-date operational records and documentation.

Client & Owner Communication

  • Assist in managing communication with clients and aircraft owners, ensuring timely and professional responses.
  • Provide high-level support in coordinating logistics, client requests, and updates.

Qualifications & Skills

  • Experience in aviation operations or administrative support preferred.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to work independently and handle sensitive information with discretion.
  • Proficiency in MS Office Suite; experience with aviation scheduling or management software is an asset.
  • Knowledge of aviation regulations and QA standards considered an advantage.

Work Environment

  • Fast-paced private aviation environment with a focus on service excellence and safety.
  • Occasional evening or weekend availability may be required to meet operational needs.
