Transportation Administrator – Dispatch Support

Slingshot Transportation Inc. is expanding again We have an exciting new opportunity for a Transportation Administrator – Dispatch Support to join our operations team at the Calgary Alberta terminal.
Schedule: Monday to Friday from 07:00 to 16:00
Salary: $37,000 - $52,000 per year dependent on experience
Detailed Responsibilities and expected results:
1. Ensure Driver Hours & Billing is entered efficiently and accurately daily by:
· Collect all driver packs ensuring to check against daily dispatch to ensure all driver packs are accounted for from the previous shift.
· Sort driver packs separating driver paperwork, removing keys, phones, fuel receipts, inspection sheets etc.
· Accurately complete and maintain all necessary reports, logs, and forms.
· Sort and match delivery paperwork to load cards and PODS
· Review driver paperwork for accuracy i.e., KM's, hours, name, signature, date are completed and resolve any issues with driver paperwork
· Scan all drivers run sheets, dispatch, inspections, and email to Milton for processing
2. Providing support to Dispatch by:
· Reconcile monthly petty cash.
· Monitor email and address all concerns. Obtain management support with any items regarding equipment or HR.
· Researching carriers
· Collaborate with dispatch team to modify daily routes to accommodate the needs of customers
· Cultivate strong relationships with drivers and customers
· Build and maintain a positive work environment where team members and their contributions are recognized and valued
· Communicates all relevant details of driving assignments to drivers to ensure proper execution
· Liaise with clients: receive and confirm details of orders, maintain effective proactive client communications as needed
· Use and support Motive; reports, KPI's and incentives programs
· Arrange appointments and scheduling
· Supporting dispatch team to source 3PL carriers and negotiating compatible freight rates
· Arranging regular PM for all company equipment and onboarding rental units, obtain proper insurance
· Enter, manage, and dispatch all orders within operations software
· Liaise with drivers and the Terminal Manager, Calgary to arrange for maintenance, spare vehicles and ensure repairs are completed to vehicles
· Monitor the location of vehicles in the yards
· Verify the departure and return of drivers and vehicles
· Verify vendor invoices and updating PO Logs
· Assisting drivers with paperwork, smartphones/tablets, and general inquiries
3. Provide Administrative duties by:
· Responsible to obtain and email all required driver documentation i.e., Driver References, Licences, medicals etc
· Monitor, order and maintain First aid supplies, office toiletries and office supplies
· Maintain all supplies in an accessible and organized manner
· Supplier invoice scanning, filing and entry into PO log(s)
· All scanners are to be cleaned once per month as a minimum, additionally as required.
4. Other Duties:
· Performing other duties as assigned from time to time by management
· Support emergency dispatch duties during high volume call times and staffing shortages
· Contribute to improvements i.e., processes, procedures, and policies
Qualifications:
Knowledge:
· Proficiency with ADP Time & Attendance Module or equivalent software
· Strong MS office skills specifically Excel and Word
· Knowledge of the Transportation industry
Skills and Abilities:
· Excellent communication with internal/external customer, organizational and problem-solving skills
· Ability to multi-task, and prioritize in a fast-paced environment
· Strong customer service skills
· Comfortable in a setting which includes office staff, associates, and drivers
· Previous experience in Transportation or Dispatch.
· Exceptional attention to detail
Other Requirements:
· Must hold a valid driver's license and reliable vehicle
· Minimum 2-years' experience in an administration or similar role
· Transportation industry experience an asset
· Must be able to work in fast-paced, multi-dimensional and highly demanding office environment
· Must be able to meet strict deadlines
