About Urban Green
Urban Green has been enhancing workspaces across Ontario with live plants for 50 years. We design, install, and maintain interior foliage, living walls, and preserved moss features for commercial clients. As our business grows, we're hiring a part‑time Operations & Administrative Coordinator to support our team remotely.
This role is ideal for someone who is organized, proactive, and enjoys keeping a business running smoothly behind the scenes.

Responsibilities
Administrative & Operations Support
- Review weekly work checklists
- Track vehicle service dates and send reminders
- Send insurance documents to clients
- Record and monitor staff safety certifications
- Enter new purchase orders
- Update weekly scorecard numbers
- Provide general administrative support to the leadership team
Financial & Bookkeeping Support
(Note: We have a bookkeeper who handles reconciliation)
- Track expenses and upload receipts
- Create invoices in QuickBooks
- Apply payments and maintain accurate records
- Follow up on overdue payments
Sales & Business Development Support
- Search for relevant RFQs/RFPs
- Follow up with leads or delegate to the appropriate team member
- Assist with proposal formatting and document preparation
Documentation & Compliance
- Maintain organized digital records
- Ensure certifications, insurance, and WSIB documents are current
Qualifications
- Experience in administrative, operations, or office support
- Strong organizational and time‑management skills
- Comfortable using QuickBooks (or able to learn quickly)
- Strong written and verbal communication
- Tech‑savvy with cloud‑based tools
- Able to work independently and manage your own schedule
- Detail‑oriented and proactive
Hours & Compensation
- 10–15 hours per week
