Job Description
We are currently seeking a
Lead Document Controller
, based out of
Toronto, ON
to join our project team executing a Potash mining project in Saskatchewan. As a Document Controller working in an Integrated Program Management Team (IPMT) within the Owner's team, you will support a major capital project within an EPCM environment. In this role, you will manage the flow, accuracy, and accessibility of project documentation using an Electronic Document Management System (EDMS). You'll be responsible for document version control, metadata management, workflow coordination, and ensuring compliance with project standards—playing a key role in maintaining project efficiency, traceability, and audit readiness. Bantrel is working with K+S Potash (KSPC) as an Integrated Project Management Team (IPMT), to expand the KSPC Bethune Potash Mine in near Moose Jaw Saskatchewan from 2.2 to 3.0M tonnes per annum over the next 5 years. The final production capacity is intended to grow over decades to 4M tonnes per year, doubling the current production output of potash. Key personnel will support the project from Saskatoon and Bethune, with additional support staff supporting from Calgary, Edmonton, and Toronto.

Duties And Responsibilities

  • Directing the Document Control team to manage the flow, quality, and integrity of project documentation using an Electronic Document Management System (EDMS), ensuring compliance with project standards and procedures.
  • Auditing the EDMS for accuracy against all documents.
  • Monitoring and reporting document control performance metrics, including, processing times, quality and aging reports.
  • Coordinate document number reservations and ensure consistency across technical and non-technical scopes.
  • Accountable for systems access related to document control.
  • Provide training and day-to-day support to internal and external stakeholders on EDMS usage and document control best practices.
  • Collaborate closely with engineering, procurement, and construction teams to ensure seamless document handover and traceability.
  • Supervise a team of Document Controllers and provides leadership, performance management and timesheet approval.
  • Other duties as assigned.

Qualifications

  • 3–5 years of leadership experience and 8-10 years in document control role within engineering, procurement, and construction project environments.
  • Proven experience working with EDMS platforms in a fast-paced, multi-disciplinary project setting.
  • Experience with supplier documentation processing and cycle management.
  • Experienced required in Aconex, SharePoint, Bluebeam, MS Office Suite (Excel, Word, Outlook, Visio). Experience in SAP is an asset.
  • Strong attention to detail, organizational skills, and the ability to manage competing priorities.
  • Excellent communication and interpersonal skills, with a proactive and collaborative approach.
  • High school diploma required; post-secondary education in a related field is an asset.
  • Flexibility for business travel periodically to Saskatoon.
