We are looking for a full-time (37.5 hrs/week) immigration case manager (legal assistant) who is eager to work from our boutique immigration, refugee and administrative law firm's physical offices located at 3981B Kingsway Burnaby, BC (8:30-4:30 pm).

ABOUT THE ROLE:

Working in the legal department and reporting to the Director of Case Management and Client Strategy, this role will assist on assigned lawyers' client matters, including but not limited to processing highly confidential information and seeking additional information where necessary, assisting the lawyers with preparing and drafting legal documents and correspondence for immigration applications, preparing administrative materials for tribunals and courts, and maintaining a high degree of professionalism and liaison with various clients.

ABOUT YOU:

You are self-motivated, proactive and a reliable stabilizer. You will provide a second eye or a solid first draft to ensure accuracy and precision in our field, which is becoming increasingly dependent on our exceptional attention to detail. You will develop professional relationships with clients to keep them in the loop throughout the working process and 'work ahead' of lawyers.

DUTIES AND RESPONSIBILITIES:

The successful candidate will be expected to perform the following duties:

  • Support lawyers with immigration matters, including the preparation and submission of a variety of immigration applications.
  • Gather, review, organize, and file client documents and forms, ensuring accuracy, completeness, and compliance with applicable requirements.
  • Assist with procedural tasks such as serving and filing tribunal or court documents and preparing ATIP requests, as required.
  • Draft routine correspondence and first drafts of letters to government bodies, tribunals, courts, and other stakeholders.
  • Manage electronic client files and internal case management systems, including logging communications and processing incoming correspondence.
  • Track deadlines, follow-ups, and lawyer availability using a bring-forward system.
  • Communicate professionally with clients, government offices, and third parties, and coordinate services such as interpreters, translators, and couriers.
  • Respond to all inquiries and client and legal correspondence in a timely and professional manner

QUALIFICATIONS AND REQUIREMENTS:

  • Minimum of one year of experience as a legal assistant, an immigration case manager, or a position equivalent preferred.
  • Completion of a recognized legal assistant program or equivalent professional experience.
  • Immigration-specific training or program completion is considered an asset.
  • Self-starter with a proactive work ethic, and a team player with excellent customer service skills.
  • Highly organized and detail-oriented, ensuring accuracy, clarity, and completeness in all tasks.
  • Ability to work under pressure and manage multiple priorities in a fast-paced environment.
  • Ability to multi-task and quickly adjust priorities to meet unexpected or competing deadlines.
  • Strong sense of integrity and accountability.
  • Fluency or professional working proficiency of a second language is an asset
